Adjusting employee balances

Have full control over balances by manually adding and removing days as needed.

You can manually add or remove days from individual user balances using adjustments. In this guide, we'll discuss manually adjusting balances, and setting effective/expiration dates for each adjustment.


Before you begin

You can add multiple adjustments of user balances in bulk with Tables. For more, see Adding adjustments with Tables.


Making an adjustment

You can make an adjustment to a user's balance with the following steps:

  • In the People dashboard, click on an employee's icon, then click Full profile.

  • Click on Manage time away.

  • Navigate to the Days taken card, then click Adjust.

  • Select the type you wish to adjust, and how much days you wish to add/subtract (you can use "-" to deduct days from the balance).


Setting an effective date

Within the Date field, you can backdate the adjustment or schedule it to take place at a later date. This could be useful when correcting minor balance issues or accidental accruals, without having to edit an entire policy.


Setting an expiration date

You can set an expiration date for adjustments. For example, if you need to give an employee extra carryover, but they need to take it within a 1 year period, you can make this manually adjustment to their account, and set the expiry date to 1 calendar year ahead of time.

Setting an expiry date will allow you to:

  • Set adjustments that expire before the end of the PTO year

  • Set adjustments that carry over one or multiple PTO year(s)

When an expiring adjustment is set it will be shown in the Adjustment note and its expiration date highlighted when hovering over the Available balance.

Humaans will always deduct the PTO balance that is set to expire first. If an adjustment is set to expire before the end of the PTO year it will take form this balance first.


Reviewing and editing an adjustment

Once you have saved the adjustment, you can review it in the employee's Manage time away section:

  • If the adjustment was backdated, you can review it in time away history.

  • If the adjustment is scheduled, it will appear in the upcoming section.

You can also edit and remove the adjustments after saving if needed, by clicking the Edit button to the righthand side of the adjustment.
