Automatically provision Google Accounts for employees from Humaans

What you'll need

  • Humaans Growth / Enterprise package

  • Access to your Google Workspace Admin account

  • Permission to manage users in your Workspace account

With Google Account provisioning you can automatically create Google Accounts for your employees when adding them to Humaans.

To activate, in Integrations Choose Google Account Provisioning and Configure. The first thing you will be asked to do is to Connect your Google account.

When connecting Humaans you will need to select:

  • View and manage organization units on your domain

  • View and manage the provisioning of users on your domain

After granting these permissions you can now move to the Provisioning section of the integration. When activated new employees that are added as members to Humaans will have a Google workspace account created for them.

You can configure when to provision accounts and when to send their Google workspace invite and password.

You can choose to send

  • As soon as the account is provisioned

  • On the Employment start date

  • Never - you will have to invite manually from your Workspace manually

You can also control the trigger for the invite to be sent

Once you have chosen your settings click Save to apply.

Note. New hires will not trigger an account provision and invite, only new members. See more info here.

In the Deprovisioning section you can set automatic deprovisioning of accounts for users who are deleted or Offboarded. If selected these employees Google Workspaces will be suspended on deletion or after their final working day. If you wish to deprovision accounts activate and then click Save.

In Data mapping you can select which fields to map from Humaans to Workspace accounts.

By default Humaans will sync:

  • First name

  • Last name

  • Work email

  • Personal email

You can also sync:

  • Work phone

  • Personal phone

  • Profile photo

  • Address

  • Employee ID

  • Job title

  • Department

  • Manager email

Once you have configured and saved the fields you wish to match click Save.

You can also choose to map new employees to Organisational units within your Workspace.

You can select from:

  • Department

  • Place of work

  • Contract type

You can structure these available options across three levels within your Workspace.

Once you have configured and saved your data mapping preferences you will have the option to Keep data in sync. This will apply any changes made in Humaans to Google Workspace profiles keeping info in sync across both platforms

Th Logs section will show any activity or errors in syncs. If you have any additional questions or require support in setting up google Account Provisioning please reach out to team@humaans.io.

At this time, our provisioning systems (okta/lattice/google/etc) does not support re-provisioning once a person has been deprovisioned. Reprovisioning should be done manually instead.
