How to Submit a New Questionnaire for Autofill

HyperComply offers multiple ways to import and autofill questionnaires depending on how much control or support you want. Whether you prefer a fully-managed service or want to handle it yourself, this guide walks you through each method.

Prerequisites

Before you begin, make sure:

  • You have access to HyperComply

  • You have access to the questionnaire file or link

  • If submitting via Salesforce, you have the appropriate permissions

Start a New Questionnaire

To begin:

  1. Navigate to the Questionnaires tab

  2. Click + New Questionnaire

  3. Choose one of the following:

    • Upload a file (.xlsx, .docx, .pdf)

    • Paste a URL to a web portal (e.g., OneTrust)

Once you select a file or URL, you’ll be guided through the appropriate submission flow.


Option 1: Upload a File

After uploading a file, you can choose one of two methods:

If you have the "Foreign Language Translation" feature active, you'll be able to select whether a file is in a foreign language and the file will automatically be translated.

If you are interested in this feature, but do not have it active, please contact your CSM.


Full Service

HyperComply’s team will import, review, and autofill your questionnaire for you.

Best for: complex files, tight deadlines, minimal manual effort

Steps:

  1. Upload your file and choose Full Service

  2. Fill in:

    • Questionnaire Name (auto-fills from file name, editable)

    • Customer Name (select existing or create new)

    • Owner(s) – receive notifications and updates

    • SLA – choose turnaround speed based on plan

    • Segment (if applicable)

  3. Click Show advanced options to include:

    • Due Date

    • Expiration Date

    • Deal/Customer Value

    • Additional notes for the HyperComply team

  4. Click Submit Questionnaire

💡 You’ll get an email once your autofilled file is ready to review.


Auto Import

Auto Import uses AI to automatically detect and map Q&A pairs.

Best for: standard-formatted Excel files you want to autofill quickly

Prerequisites

Please note that not all packages include Auto-import so if you do not see the option to utilize Auto-import, then you should contact your CSM to discuss enablement options.

Steps:

  1. Upload your .xlsx file and choose Auto Import

  2. Fill in required details (Name, Customer, Owner, Segment, etc.)

  3. Click Show advanced options to include:

    • Due Date

    • Expiration Date

    • Deal/Customer Value

    • Additional notes for the HyperComply team

  4. Click Submit Questionnaire to begin the AI import

  5. Review the imported Q&A preview

    • Once submitted, our AI will:

      • Automatically detect and extract questions and answers from your file.

      • Organize them into sections based on the file’s layout.

      • Pre-map the questions and answers for autofill.

  6. Make edits using:

    • Bulk Select: Select multiple question–answer pairs to include to the import.

    • Single Select: Manually tell the tool where specific data is located (e.g., Question = Column A, Answer = Column B).

    • HC Agent (Copilot): Use AI to make edits. You can type prompts like:

      • “Answers in Column C should be optional”

      • “Remove Column D from this selection”

      • “In Rows 10–50, answers appear below the question in the same column.”

  7. Once everything looks correct, click Submit

  8. After submission:

    • HyperComply’s AI will autofill your questionnaire using content from your Knowledge Base.

    • Review and approve the answers before downloading or submitting the final file.

Fastest option — typically completes in minutes

⚠️ Only .xlsx files are supported in the current version of Auto Import.


Option 2: Submit via Web Portal

If your team receives web-based questionnaires, there are three options for HyperComply to assist. If there is an export option, you can export the file and submit to HyperComply as file questionnaire, otherwise you can complete using the browser extension, or submit for Web Portal Services.

This article details how to submit the web-based questionnaire for Web Portal Services.

(Note: Web Portal Services are not included on all HyperComply plans. If you do not see this feature in your workspace, please contact support@hypercomply.com.)

Web Portal Service is a component HyperComply offers to accompany the web app solution.

A Security Analyst who completes Human Review on your questionnaires will enter the portal on your behalf, fill out a portion of the web-based questionnaire using the answer data available in your Knowledge Base, and return it to your team for review.

Steps:

  1. On the “New Questionnaire” screen, choose Option 2: Submit a web portal.

  2. Paste the URL of the questionnaire portal.

  3. Click Next.

  4. Fill in:

    • Username and Password (If the portal does not require a password, you can toggle "No password needed")

    • Questionnaire name

    • Customer

    • Owner(s)

    • SLA (1–3 business days, based on plan)

    • (Optional) Add segments to ensure relevant answers

  5. Click Show advanced options to add a due date, revenue info, or notes for the importer.

  6. Click Submit questionnaire.

  7. You’ll see a confirmation message that your request was submitted.

🔐 Security Note: Your URL is kept secure and is only used to access and autofill responses on your behalf.


Tips and best practices:

Deal/Customer Value

Completing this field allows you to better track the deals and gain insights on how more efficiently completed security questionnaires impact them. If you have SalesForce integration enabled, this field will be directly pulled from your SalesForce account.

Due Date

This does not impact when your security questionnaire is returned by HyperComply. Instead, this field allows you to better track when a security questionnaire is due to be returned to your customer.

Additional Notes

Feel free to add any information that you feel would be helpful to the HyperComply team such as specific sections to be included/omitted or clarification on definitions.

Next steps:

You will immediately be able to see the submitted security questionnaire in the “Submitted to HC” tab of your Questionnaires page under the “Autofilling” status section.

Once the file has been imported, autofilled, and quality assured, the HyperComply team will send the Owner(s) an email with a link to the pre-filled questionnaire for your team to review.

The return date will depend on your organization’s SLA with HyperComply. If you have any questions, or need clarity with your assigned SLA, please contact your CSM, ask an Admin from your HyperComply workspace, or contact HyperComply Support through our chat.
