Adding and Removing Vendors

Hyperproof's Vendor Register allows you to maintain a central source of truth of your third-party vendors, as well as assess their risk profile and potential impact with automated assessments.

Adding a vendor

The Vendor Register offers a smooth experience for users when it comes to managing and tracking their vendors and questionnaires. From the Vendor Register, you can link objects— like controls and risks—to vendors, host contracts, assess a vendor's risk level, and create and manage questionnaires.

Within the vendor module, you can either enter a new vendor or import a list of vendors. Below, we'll cover how to import your vendors in the video tutorial.

In order to add vendors, you will need to be added to the vendor module. Your admin will need to add you as a contributor or manager. Depending on what you are assigned, this will affect your access.

The tutorial below is shown in the compliance manager role with organizational permission as a manager in Hyperproof. If you are in another role in Hyperproof or have a different permission, you may not have access to some of these areas shown, or they may be greyed out.

Adding a vendor to the vendor register

  1. From the left menu, select Vendors.

  2. Select the Vendors tab.

  3. Click New.

    1. The Create new vendor window opens.

  4. Enter the following:

    1. Vendor name (required) - The name of the vendor.

    2. Owner (required) - The individual in your organization responsible for the vendor.

    3. Status (required) - The vendor's standing in your organization.

    4. Category (optional) - Categories help you classify your vendors. For example, if the vendor you added represents a security company, you can create a category called Security.

  5. Optionally, enter a vendor contact.

  6. Click Create.

    1. The vendor is added to the Vendor Register.

Removing a vendor

As your program grows and evolves, you may find that some vendors are no longer needed. As with other objects in Hyperproof, archiving a vendor removes them from view, but doesn’t completely remove them from Hyperproof. This is helpful should you need to access an archived vendor in the future.

Archiving a vendor

  1. Select the vendor you want to archive

  2. Click the Archive icon. The Archive vendor? window opens

  3. Click Archive this vendor. The vendor is archived

Unarchiving a vendor

  1. Scroll to the end of the vendor's list, and then click Show archived

  2. Select the vendor you want to unarchive (the archived vendor overview works the same at the active vendor overview. You can select and view all components of the archived vendor including tasks, proof, controls, and risks).

  3. Click unarchive

  4. The vendor is unarchived and moved back into the vendor list.
