Completing a risk evaluation approval

Roles and permissions

  • Only the person assigned as the approver can complete a specific approval.

Approvals are part of a structured process that ensures that designated approvers formally review completed work.

When risk evaluation updates are complete, the evaluation assignee submits the evaluation and associated changes for approval, which moves the evaluation status to Submitted. Hyperproof creates an approval for each approver configured in the approval workflow and sends them each a notification with a link to their approval. To approve or request a change to a risk evaluation, you must be logged in to Hyperproof.

To approve or request a change to a risk evaluation:

Note: You must be able to log in to Hyperproof to access your approval.

  1. Each approver receives a notification when they are assigned an approval. Open the Hyperproof notification and click the link to your approval. If you are not logged in to Hyperproof, you are asked to log in to authenticate your identity.
    Or
    Open Hyperproof, navigate to Work Items > Approvals, and select an approval.
    The Approval window displays.


    Note: Before starting your review, you can change the approval status to In progress. This updates the evaluation status to In review and locks the fields being evaluated. If you don't change the approval status, the evaluation status will update when you complete your approval.

  2. Click Start review.
    The Approval Request window displays.

  3. Review the changes displayed in the left panel.

  4. If no changes are necessary, click Approve.
    Add the evaluation, the Add comment field is not required.

  5. If changes are necessary, describe the changes in the Add comment field, then click Request changes.

  6. Click Submit decision to submit your approval decision or click Close to close the review and remove your changes.

Note: Hyperproof requires a comment to allow you to click Request changes.

If you clicked Approve, the approval workflow continues with the next approver, if there is one. Once the approval workflow is complete and none of the approvers has requested any changes:

  • If the Automatically update risk option is turned on for the approval, the associated risk is updated with the data from the evaluation, and the evaluation status is set to Approved.

  • If the Automatically update risk option is off, the evaluation assignee must open the evaluation and click Update risk to permanently modify the risk fields with the information from the evaluation and set the evaluation status to Approved. Once an evaluation is set to Approved it can’t be modified or reopened.

If you clicked Request changes, all outstanding approvals are canceled, and the evaluation status is set back to In progress. When the requested changes have been made, the evaluation assignee clicks Submit, and the approval process starts again.
