Roles and permissions
The following roles can manage organization notification settings:
Administrators
Administrators control organization-wide reminder cadences and can disable all notifications for the entire organization from the Organization tab in Notification preferences.
Note: The Organization tab is only visible to users with an administrator role. Other users see only the My account tab.
To update organization reminder notification settings
From the left menu, select Settings.
Select Notifications.
Select the Organization tab.
In Email reminders, scroll to the category you want to update.
In the When the due date is approaching, send reminders... section, set the number of days prior to the due date to send reminders, as follows:
Click an existing setting and modify the number of days.
Click an existing setting and use the trash can icon to delete it.
Click Add to add a new setting.
Note: To send a reminder on the due date, set the days prior to 0.
In the When the due date has passed, send reminders section, choose when to send past due reminders by selecting one of the following:
Never
Every day
Every 7 days
Every 30 days
Email reminders
The Email reminders section lets you control when Hyperproof sends due-date and overdue reminder emails to your users, organized by category. You can configure two values per category:
Days prior - The number of days before the due date or freshness expiration date that a reminder is sent. You can specify multiple values, for example, 7 and 1 to send reminders one week and one day before the due date, or 0 to send reminders on the due date. Each value must be between 0 and 90. If you set no values, no reminders are sent before the due date.
Overdue interval - How often reminders continue after the due date has passed. For example, an interval of 7 sends a reminder every 7 days while the item is overdue.
Categories available for configuration are:
Access reviews
Approvals
Controls
Issues
Repeating tasks
Requests
Tasks
Note: Categories use the default cadence until you configure them. The default for due date is reminders 7 days prior and 1 day prior, with daily overdue reminders. If a category does not appear, it may correspond to a feature that is not enabled for your organization.
To reset a category to the system default, remove your custom configuration for that category.
Disable all organization notifications
The Disable all notifications section contains a toggle that turns off all email notifications and reminders for every user in your organization.
When this toggle is on:
No email notifications or reminders are sent to anyone in your organization.
Users see an alert on the My account tab indicating that notifications have been disabled by an administrator.
Users cannot adjust their own notification preferences until the toggle is turned off.
The alert also appears on the Organization tab so you can confirm the current state at a glance.
Note: Disabling all notifications does not suppress system notifications such as password recovery emails and organization invitations. Those are always delivered regardless of this setting.
When you're ready to resume notifications, toggle the switch off. The change takes effect immediately for all active sessions — users do not need to reload the page.
