Assigning walkbooks happens from Field > Surveys, either from the survey home page (survey grid) or within the survey itself.
Assigning Walkbooks Video
Assigning volunteers is covered at 9:38 and 12:56 in this video.
Methods of Assigning Surveys
Once a survey has been created, a vital part of getting it out on the field includes assigning it to volunteers. Assigning to volunteers can be done one of two ways, by assigning to survey or assigning to walkbooks.
Assigned to Survey: If a volunteer is assigned to the survey from the list view, they will be automatically given 3 walkbooks. After a walkbook is selected in the app by a volunteer, they will need to complete the book before moving to the next one.
Assigned to Walkbook: A volunteer is manually assigned to specific walkbook(s) from the list view or map view. You can give them as many as you'd like. Once in the app, they will not be required to finish the book to start a new one.
When initially creating your survey, you will only have the option to assign To Survey. You must wait until the survey has been published before you can assign volunteers to specific walkbooks.
Pre-Publishing: Assigning Volunteers to a Survey
From the 'Assign' tab in your survey, select the checkboxes next to the volunteers you'd like to add to the survey. Refer to the bottom left of the screen to select 'Assign to Survey'.
As previously mentioned, this method will give volunteers 3 random walkbook assignments within the app. To unassign from a survey, simply check the assigned users and select 'Unassign from Survey' in the bottom left.
You must publish your survey and wait for walkbooks to generate before you can do any of the next steps outlined in this article.
Assigning Volunteers to Walkbooks from List View
After publishing, Assigning Volunteers can be done from the list view or the map view.
From the list view, follow the same steps as above by checking the boxes next to the volunteer names you'd like to assign. Refer to the bottom left corner to select Assign/Unassign > To Walkbooks.
Check the boxes next to each walkbook you'd like to assign and select save. See the updated counts on the far right of the screen to see the number of walkbooks applied to each user.
Assigning Volunteers to Walkbooks from Map View
Refer to the location icon in the top right of the screen to switch to the map view. You should see a visual representation of walkbooks available in this survey.
Select walkbooks one-by-one or use the selector tools to the right of the map to choose which walkbooks to assign to users. Click once to start the selection tool and click again to close it.
Check the boxes next to the users you'd like to assign and hit 'Save' to apply selections.
Assigning from the Survey Grid
Users may also assign directly from Field > Surveys once a survey has been published. This means a user does not have to have access to create surveys if instead you only want them to be able to manage volunteers. We have a separate guide on that available here.
Final Thoughts
Volunteers will be able to see these walkbooks in the i360 Walk app once it is published. You can make changes to volunteer walkbook assignments (unassigning, changing books) at any time by referring back to this tab. For the purpose of preserving data, keep in mind that the walkbooks themselves cannot be changed.
