The Scheduling funnel is main Analytics widget for tracking every step of the booking journey, from the number of people viewing your scheduler to how many of them partially filled out the form, and ultimately, how many calls have been booked successfully.
Before we start, with every part of the pane and options available, make sure to apply:
Date range filters on top of your dashboard and
to select data source from:
Global Data, meaning all events or
for a specific AI Scheduler → Event
Number of views
This part of the pane shows total number of visits to your scheduler for the selected period and selected event/s.
Number of views will show only unique visits to the scheduler according to leads IP address and device, so the number of duplicated views will be reduced to minimum.
Contacts
This part of the widget unveils the number breakdown of unique leads who have interacted with your scheduler.
Additionally, you will be able to see detailed breakdown with all necessary stats when you hover over the column:
Scheduled a call (calls created) - column colored in light blue, presenting number of unique leads who scheduled a call.
Extra contacts - colored in dark blue, for the contacts who at least added a phone number or email in your form (potential status), or who filled out the whole form but didn't book a call (qualified), including leads that were disqualified according to criteria set in the event setup (disqualified)
This detailed view will also show you dates according to the date range selected from the top of the page, the percentage shown in green (increase) or red (decrease), that is calculated as increase or decrease of number of contacts compared to the previous period.
Pro tips
The previous period will be considered as exact number of days in the past, according to the date range filter set on the top (e.g. 3 months selected as date range, iClosed will compare data automatically with data from the 3 months before).
These column parts are dynamic, meaning that when you click on any of these two options color shades inside the column and open mini-Global Data interactive window, with the filtered list with all details about these contacts, without leaving the Analytics page.
And that's not all, inside the previewed screen you will be able to adjust columns, export the file according to the set view or to proceed to the Global Data menu.
Calls created
This part of the Scheduling funnel pane will show you total number of calls created for the selected period and data source, including leads who have scheduled more than one call.
When you hover over the column, you will be able to see detailed stats on:
Strategy call booked - column colored in light blue
Discovery call booked - column colored in dark blue
The detailed view will also show you dates according to the date range set on the top of the page, and percentage the percentage shown in green (increase) or red (decrease), that is calculated as increase or decrease of number of calls compared to the previous period.
This column is also dynamic, and it will open a filtered interactive window with all lead information that were counted as a Strategy or Discovery call (depending of the color shade you click on).
As mentioned in pervious section of the article, this screen comes with additional options to adjust columns, export the file according to the view or to take a shortcut to the
Global Data menu.
Conversion rates
On the far right of the Scheduling funnel section, you will see a perfect breakdown needed for understanding your scheduling performance quickly.
Conversion to contacts
will show you percentage of converted contacts out of the total number of visits on the scheduler, within a selected date range and data source.
Conversion to calls created
will show you the percentage of total number of calls that came out of contacts who interacted with your scheduler, for the selected date range and data source.
