How to cancel or reschedule a call?

Learn how to cancel or reschedule an upcoming call

Here's a quick guide on the easiest way to cancel or reschedule the call:

  1. Navigate to AI Scheduler → Scheduled Calls to access "Upcoming calls" tab

  2. Find the call that you want to cancel or reschedule and click on it to expand the details

  3. In the expanded call details card you will see the buttons on the top right to:

    1. Reschedule or

    2. Cancel the call

Kindly note that if Event creator turned off ability for hosts to reschedule a call in ​Event time & Limits, this button will not be visible


Rescheduling a call

Moving the call to the future

Rescheduling is an action performed on the call that is in the upcoming call state and can't be performed when the call has started already. To reschedule the call, take following steps after clicking on the "Reschedule" button:

  1. Select Round Robin or Select the host manually

  2. Click on Select Time

  3. You will be redirected to the scheduler where you have to enter the reason of rescheduling and

  4. to select date and time, and confirm rescheduling

Pro tips

Event time and limit settings - "Guest can't schedule within" setup will be excluded when a call is being rescheduled by iClosed user.

Additionally, in case you don't want Hosts to be able to reschedule calls at all, you can turn that option OFF from Event setup → ​Event time & Limits at any time.


Moving the call to past and adding an outcome

Perfect solution if you've closed a deal ahead of time! Instead of cancelling the call, you can simply move it to the past and add outcome on the go, by following next steps after clicking on the "Reschedule" button:

  1. Select the host manually

  2. Click on Select Time in the past

  3. You will be redirected to the scheduler where you have to enter the reason of rescheduling and

  4. to select date and time, and confirm rescheduling

Pro tips

Call that was moved to past will be automatically removed from lead scheduler and will not be added into the past on leads end.


Cancelling a call

To cancel a call, take next steps after clicking on the "Cancel" button:

  • Enter the reason why you are cancelling the call and

  • Click on "Confirm"

Please note that by default all of your cancelled calls are hidden from scheduled calls.

To revel them, please go to Filters at the top right, select Call Status and check the box for Cancelled Calls to show.

In case you have cancelled the call by accident, it can't be retrieved as iClosed will communicate with your Google Calendar which will delete event from invitee's calendar as well.

Kindly note that a cancelled call is a fixed status, more of a call status outcome than any other call outcome reason. If you've cancelled the call by accident, the only solution is to book a new call at the same date and time. Follow these steps:

  1. Make sure you're on Upcoming calls page and to turn on Filter for cancelled calls

  2. Click on the call to see call details

  3. Click on the contact email to access lead contact card

  4. Select Add Call button to open iClosed internal booking modal

  5. Select specific host/closer, choose date and time of the call and schedule it again
