Setting Up Disqualification
Here's how you can set the Disqualification rules in event setup.
Select Disqualification section on the left and click on "Add Disqualification" button
Choose a question to which you want to add disqualification rule
Choose the answer
In case of phone number you can select multiple country codes or select the whole region
In case of radio or checkbox type of question, you can select multiple answers
Turn the toggle button on for redirecting disqualified contacts to an external URL per selected condition
Lastly, you will be able to customize disqualification message and to set redirection timing.
Setting the redirction time to 0 (zero) will make the redirection to be instant.
Pro Tips
It is highly recommended to set your redirection delay to at least 2 seconds. This gives disqualified leads a brief moment to read your custom on-screen message and understand that there are no available booking slots at the moment.
or
if you've decided to use instant redirection, make sure your external destination URL explicitly outlines the next steps so the lead learns exactly what to expect, to prevent confusion and having them to retry booking application multiple times.
Understanding the 'IF' conditions
You can add up to maximum 10 'IF' conditions
with every condition to have maximum of 5 questions.
In addition, you can select "AND/OR" between the questions inside one condition. Multiple 'IF' Conditions will have an 'OR' between them by default. When using AND logic, all conditions within a single group must be true for a lead to be disqualified. Conversely, OR logic disqualifies a lead if any one condition within the group is true. For example:
AND Logic Example: "Cash < $10,000" AND "Start date in 3 months". Both conditions must be true to disqualify the lead.
OR Logic Example: "Cash < $10,000" OR "Start date in 3 months". If either condition is true, the lead is disqualified.
AND: Means if both the conditions are met only then a contact will be disqualified For instance, if Condition 1 is "Lead has no email address" and Condition 2 is "Lead has no phone number," the lead will only be disqualified if both conditions are true.
OR: If even one of the conditions are met, the contact will be disqualified
Examples
Example 1: Using AND Logic
Condition 1: "Lead has no email address"
Condition 2: "Lead has no phone number"
The lead is disqualified only if both conditions are true.
Example 2: Using OR Logic
Condition 1: "Lead has no email address"
Condition 2: "Lead has no phone number"
The lead is disqualified if either condition is true.
Common Mistakes and Troubleshooting Tips
Placing All Conditions in One Group with AND Logic: This requires all conditions to be true for disqualification, which may not align with your intent. Instead, separate conditions into individual groups and use OR logic.
Not Testing the Rules: Always test your configuration to ensure it behaves as expected. For example, if Condition 1 is "Lead has no email address" or Condition 2 is "Lead has no phone number," the lead will be disqualified if either condition is true.
What happens with disqualified contacts?
Here is what we do with disqualified contacts 👇
When a visitor is disqualified based on the rule you've set, they will still be redirected to time selection on scheduler. But they will not be able to book a call since they will see: "There are no time slots available for the month".
This way, the contact will not know that they were disqualified.
Here's an example of the scheduling page that the lead will see after being disqualified before it's redirected to the external page if the redirection timing is set to more than a zero (0).
Important information for you is that you will not lose such leads, since they will be saved in your
Global Data with "disqualified" status, so you can review and reach out to them.
Pro tips
You can customize disqualification message that will be applied to all disqualification criteria set for your event. Message can be added up to 100 characters.
But, if you have placed a custom disqualification message, iClosed will keep default message "There are no time slots available for the month" whenever there aren't actually slots available.
Maximizing Sales Efficiency with Soft Disqualification by Redirecting to a Discovery call
Here's an amazing solution for maximizing sales efficiency! By preventing leads on which you're not sure if they are fully qualified or not, disqualify them on your main Strategy Call event that is usually 30-60 min call, and redirect them to a shorter Discovery call. Check out the video below:
Here're the steps:
Navigate to
AI Scheduler - Events pageCreate additional/new event that will be of shorter duration than the main event and configure event details and hosts
Go to Invitee questions, do not add any custom questions but leave contact information only, and turn on pre-qualified form skipping
Save event and copy event link
Click on the main event and select Disqualification section
Set up Disqualification criteria and turn on "Redirect to a URL after disqualification" and define redirction countdown time.
Save changes and it's done
Whenever leads hits this specific criteria, it will be redirected to a different event, contact information will be prefilled, so all they need to do is to choose slots.
Answers to the original questions will be stored in lead contact card.
