From an environmental and operational perspective, Icon Office Environments maintains certified management systems aligned with ISO 9001 and ISO 14001, providing a structured foundation for quality, environmental responsibility, and continual improvement. Building on this foundation, we are actively working toward achieving ANSI/BIFMA e3 (BIFMA level®) certification, including the goal of becoming a BIFMA e2 certified manufacturer. Icon serves a broad range of markets across Canada and the United States, including corporate, education, healthcare, and government sectors, primarily through a dealer and distribution network. Headquartered in Brantford, Ontario, Icon operates with supporting warehousing and logistics facilities to enable efficient North American delivery. The organization is privately held and structured around integrated teams overseeing product development, operations, sales, logistics, and customer support.

Sustainability Policy
Responsible Corporate Citizen
ICON Office Environments (ICON) will conduct our business in a way that sustains the well-being of society, our environment, and the economy in which we live and work. We will follow ethical and legal business practices including fair hiring practices, corporate ethics, receipt of gifts and insider trading, should it ever apply. Additionally, ICON maintains equal employment opportunities for all applicants and employees and our employees take part in training to identify and implement responsible and environmentally friendly practices.
ICON is committed to respect the basic human rights of its employees and associates. ICON commits to providing decent work hours, wages, conditions as well as upholding all regulatory requirements related to forced, compulsory or child labor.
Product durability and upgradeability
Our goal is to offer ergonomic workplace products that are high in quality, repairability and durability. We consider our product’s life cycle and proudly offer up to a 2-year to 10-year warranty on products, depending on product.
Health and safety
We believe a Healthy and Safe workplace is essential and that accidents are preventable. ICON attempts to provide a safe workplace for all employees, to provide complete instructions and training covering safe working methods, and to make available special equipment required to protect employees against hazards and unhealthy conditions. We are committed to compliance with all applicable laws. ICON maintains a Health & Safety Program that is managed and made available to all employees.

Environmental and energy footprint
We implement, maintain, and continually improve our practices to reduce our environmental and energy footprint. We adopt environmentally safe approaches in our design and manufacturing processes through acting on the prevention of pollution, the elimination of all forms of waste, and the efficient use of all resources and continual improvement. We will continuously work to improve our environmental and energy footprint by meeting our objectives and targets by implementing strategies that will, over time, allow us to be better stewards of the environment through our management of natural resources, materials and chemicals.
Chemical material that we are using in our facility(ies) are managed with safety procedures to protect our employees that may come in contact with hazardous materials. ICON works at designing and manufacturing more sustainable products through lifecycle thinking with safer material chemistry to improve human and ecosystem health impacts. We work with subcontractors that also value the importance of adopting such approaches.
Design for the environment
In conjunction with its environmental and quality policy ICON is committed to a healthy environment and sustainable business practices. Further to this, ICON strongly considers the materials, processes, and material sources during the design stage of new and existing products. ICON gives preference to materials, and sources that conserve energy and raw materials and offers products with a high degree of functionality through their working life and options for end of life repurpose or recycling. Wherever feasible the ICON design team selects products that come from renewable, recycled, recyclable, or biodegradable sources.
Zero waste
ICON is committed to reduction of solid waste from its facility, specifically from fabrication or assembly of components. Its goal is to continue to minimize non-reusable solid waste from these production streams as much as possible each year. ICON will monitor progress through annual data collection and analysis.
Community engagement
ICON values its community and its place within it. To demonstrate this value, ICON looks for ways to contribute to the community including, donations, volunteerism, sponsorship, or participation. Along with this commitment it encourages its employees to do their part to be responsible citizens of the community, by engaging in local events, fundraisers, community programs, and conservation efforts.
Chemical management
As part of its commitment to employee health and safety, and that of its customers, ICON is committed to regularly evaluate the chemicals that it uses within its production processes and facility to look for opportunities to reduce, replace or eliminate chemicals of concern. ICON maintains an inventory of chemicals that it uses to track, properly store and dispose of chemicals of concern. Only authorized employees may requisition chemical products, and any new chemical products will be added to the chemical inventory and tracked as appropriate. All chemicals on the inventory list will have SDS sheets in printed form and will also be archived in digital format for easy retrieval.

Environmental Responsibility

Environmental responsibility is integrated into Icon’s day-to-day operations and is supported by the company’s ISO 14001–certified Environmental Management System.
Energy & Emissions
Icon Office Environments manages energy use and associated environmental impacts through operational controls and continuous improvement practices aligned with its ISO 14001 Environmental Management System. Energy considerations are incorporated into facility operations, warehousing activities, logistics planning, and vendor selection where applicable. While formalized energy and greenhouse gas emissions tracking is still evolving, Icon continues to assess opportunities to improve operational efficiency and reduce environmental impacts over time.
Materials & Products
Material selection and product-related environmental considerations are incorporated into Icon’s product development and sourcing processes. Where feasible, Icon prioritizes materials and finishes that support durability, responsible sourcing, and reduced environmental impact. Sustainability considerations such as material certifications, recyclability, product longevity, and supplier environmental practices are reviewed during product specification and vendor evaluation processes.
Icon works with manufacturing partners that demonstrate alignment with recognized environmental standards and certifications, including certified management systems and product-specific environmental attributes, where applicable. These practices support responsible material use and long-term product performance.
Waste & Circularity
Icon Office Environments is committed to reducing waste and supporting circular economy principles through recycling, reuse, and responsible end-of-life solutions. Waste reduction and segregation practices are implemented within operations to minimize landfill disposal where feasible.
In addition, Icon partners with third-party organizations to support responsible end-of-life furniture programs that prioritize reuse, resale, donation, and recycling. These initiatives help extend product life cycles, reduce waste, and support environmental stewardship beyond Icon’s direct operations.
During the reporting period, Icon Office Environments generated approximately 936 kg of landfill waste and 16,130 kg of recycled material, the majority of which consisted of curated cardboard.
Water use within Icon’s facility is limited to general building requirements such as restrooms and basic operations. While total water usage is not actively tracked, Icon remains in compliance with all applicable water use and discharge regulations.
Environmental performance and waste-related practices are reviewed as part of Icon’s ongoing management system processes, supporting continual improvement and alignment with evolving sustainability goals.

While a formalized safety program is not published on the website, operational practices are designed to maintain safe working conditions in all facilities, reflecting the company’s long-standing commitment to quality and service. 1. Responsible End-of-Life Furniture Programs
Icon partners with Green Standards to redistribute surplus furniture via resale, donation, and recycling to keep materials out of landfills. These efforts support community reuse and reduce environmental waste.
2. Meal Donation Impact
Through Icon’s “Giving Back” program, a portion of product sales helps provide nutritious meals for people in need. As of the latest available information:

Community Outreach
Icon Office Environments is committed to supporting the communities where its employees live and work. Through this program, all full-time and part-time employees are eligible to receive a minimum of eight (8) hours of paid volunteer time per calendar year. Supplier Code of Conduct & Responsible Sourcing
Icon Office Environments is committed to working with suppliers that share our values for ethical conduct, respect for human rights, safe working conditions, and environmental responsibility. To support this commitment, Icon maintains a formal Supplier Code of Conduct (SCOC) that outlines clear expectations for suppliers and their extended supply chains.
The Supplier Code of Conduct applies to suppliers, vendors, contractors, consultants, agents, and other providers of goods and services doing business with Icon Office Environments. The Code addresses, at a minimum, compliance with applicable laws and regulations, labor and human rights protections, health and safety standards, non-discrimination, freedom of association, prohibition of child and forced labor, business ethics, anti-corruption practices, and environmental compliance.
Icon integrates the Supplier Code of Conduct into new supplier contracts and requires acknowledgment from suppliers at the executive level, including the President, Chief Executive Officer, Chief Financial Officer, Chief Operating Officer, or an authorized designee. Where products are sourced through distributors, Icon requires distributors to engage with the manufacturers of those products and return signed acknowledgments to Icon.
Supplier Engagement Metric
During the reporting period, Supplier Code of Conduct acknowledgments were received from suppliers representing 91.32% of total supplier spend, reflecting strong supplier engagement and alignment with Icon’s responsible sourcing expectations.
Icon Office Environments continues to work with suppliers to expand adoption of the Supplier Code of Conduct and to strengthen transparency and accountability across its supply chain over time.
Customer & Product Responsibility
Icon Office Environments is committed to delivering safe, reliable, and compliant workplace furniture solutions that meet customer needs while adhering to applicable regulatory and industry standards.
Product safety and quality are supported through established quality management practices aligned with Icon’s ISO 9001 certification. Products are designed, sourced, and distributed with attention to performance, durability, and suitability for their intended use across commercial, education, healthcare, and government environments.
Icon ensures that products meet relevant safety, material, and regulatory requirements in the markets we serve. Sustainability attributes, certifications, and product information are communicated accurately and transparently to customers through responsible marketing practices.
Customer responsibility also includes supporting proper product use, maintenance, and end-of-life solutions. Through partnerships such as Icon’s responsible end-of-life furniture program, customers are offered options that support reuse, resale, donation, and recycling, reducing waste and extending product life cycles.
Product Design & Durability
Icon Office Environments integrates sustainability considerations into its product design and development processes to support durability, quality, and reduced environmental impact throughout the product lifecycle. New products and product updates follow a structured development process that evaluates functional requirements, material selection, manufacturing considerations, and end-of-life options.
As part of this process, Icon assesses opportunities to incorporate environmentally responsible materials and finishes, including the use of recycled or renewable content where feasible, low-emission and low-toxicity finishes, and material alternatives that reduce environmental impact. Environmental considerations such as energy and water use during manufacturing, packaging sustainability, and transportation impacts are reviewed during product specification and vendor selection.
Product durability, performance, and compliance are key evaluation criteria, and sustainability considerations are documented as part of the product specification and approval process. Where applicable, Icon works with manufacturing partners that maintain recognized environmental or product certifications, such as FSC®, GREENGUARD®, or ISO 14001, to support responsible sourcing and product performance.
End-of-life considerations, including recyclability, disassembly, reuse, and responsible disposal options, are reviewed during product development to support extended product life cycles and waste reduction.
The ANSI/BIFMA e3 Furniture Sustainability Standard is a comprehensive, multi-attribute standard for sustainability in the office furniture industry. The standard provides direction to manufacturers in the areas of materials, energy and atmosphere, human and ecosystem health, and corporate social responsibility.
Third party certification (called LEVEL) is based on an audit of the corporation, the manufacturing site, and the specific products. ICON Office Environment's products are certified and can contribute to LEED and WELL projects.
ICON used the following methods for its product grouping approach for LEVEL certification:
The combination of base product and options with the highest volume of sales or anticipated highest volume for a new product within the product category / subcategories as defined in Annex A. It is not necessary to consider the full range of options available on the representative sample for purposes of the evaluation. Notwithstanding, all products of a family group are expected to meet the intent of the credits.

Chemical Management
Icon Office Environments maintains a formal Chemical Management Policy and Plan to ensure that all chemicals used, handled, or stored within its operations are managed responsibly to protect employees, visitors, customers, and the environment.
Chemical use within Icon’s operations is limited and controlled. All chemicals are subject to review prior to purchase, including evaluation of Safety Data Sheets (SDS), hazard identification, storage requirements, and personal protective equipment (PPE) needs. Chemical inventories are maintained and reviewed, and SDS information is made accessible to employees.
Employees who handle chemicals receive training on safe handling practices, PPE use, spill response, first aid procedures, and proper storage and disposal. Emergency response procedures are established for spills, exposures, or other incidents, and chemical waste is disposed of in accordance with applicable local, provincial/state, and federal regulations.
The Chemical Management Policy and Plan are reviewed annually and updated as needed when new chemicals are introduced, supporting ongoing compliance and continuous improvement.
