Adding & Editing Staff Pay Details

The Staff Pay Details area is where HR and payroll admins manage the key financial and employment fields used for external payroll setup, SCHADS-related rostering checks, and internal reporting.

Opening the Finance tab (secure access)

When you open a staff member’s Finance tab, Imploy checks whether you’re allowed to view financial data. If you haven’t completed the finance verification step yet, you’ll be prompted to verify via a one-time code before details are displayed.

Once verified, you’ll be able to view and manage the staff member’s financial fields, and you’ll also see a Two-Factor Authentication toggle in this section (where available) to help enforce additional security for the staff member.

What “Pay Details” includes

Inside the Finance tab, the staff member’s financial and payroll-related fields are presented in a simple grid so you can quickly confirm what’s already set up.

Fields include:

  • Account number and BSB

  • Superannuation name and superannuation member number

  • Tax file number

  • Employing entity (the business/legal entity the staff member is employed under)

  • Employee code

  • Location, primary cost centre, and additional cost centre

  • Employment type and contract type

  • Job title

  • Actual weekly hours/days and full-time equivalent weekly hours/days

  • Maximum daily hours

These fields are used to keep staff records consistent and to support payroll and scheduling rules.

Editing staff pay details

To add or edit details, open the Finance tab and click the menu button (three dots) in the Financial Details card. This opens the Edit Financial Details form.

The edit form is designed so you can work left-to-right through the staff member’s setup. Some fields may be disabled depending on the staff member’s setup (for example, contractors have certain employment fields locked to prevent incorrect SCHADS/payroll assumptions).

Employment details (who they are and how they’re employed)

In the edit form you can set:

  • Employment type (Employee or Contractor)

  • Contract type (for employees, e.g. part-time, full-time, casual, fixed term)

  • Job title

  • Actual weekly hours/days

  • Full-time equivalent weekly hours/days

  • Maximum daily hours

There are also SCHADS-related settings in this section:

  • Include for SCHADS alerts: if enabled, this staff member is included in SCHADS rostering alert checks. If disabled, they’re excluded from those checks.

Tip: If you’re unsure what SCHADS alerts are, refer to your existing help article Understanding the SCHADS Alert System, this setting controls whether that staff member participates in those roster warnings.

Employing entity and cost centres (where they sit in the business)

You can also assign:

  • Employing entity

  • Location

  • Primary cost centre

  • Additional cost centre

These fields are useful for payroll mapping and internal reporting, especially if you operate across multiple locations/entities.

Financial details (banking and tax details)

The finance form includes:

  • Account number

  • BSB

  • Superannuation name

  • Superannuation member number

  • Tax file number

Important behaviour: in some setups, financial details may be marked as only editable via the staff Document Portal (for example, when the business prefers staff to enter their own bank/TFN details securely). In that case, these fields will appear read-only in the admin edit form, with an indicator explaining they are managed through the upload/document portal.

Saving changes

After updating fields, click Save. Imploy will update the staff profile and the Finance tab will reflect the new values immediately.

If you don’t want to apply changes, click Cancel to close the edit form without saving.

Common payroll setup checklist (quick)

If you’re setting up pay details for a new staff member, the most common “minimum” fields to confirm are:

  • Employment type + contract type (if employee)

  • Employing entity + location/cost centres

  • Actual weekly hours/days + maximum daily hours (if you rely on SCHADS alerts)

  • Bank/super/TFN details (where your process allows)
