Section permissions allow you to control who can view and edit each section of your form. This feature is useful when you need to keep certain information private or restrict access to specific sections.
Use Cases
Confidential information: If your form contains sensitive data that should only be accessed by a specific group of people, you can use section permissions to restrict access to that section of the form. For example, you can make a section visible only to management, while allowing staff members to edit another section.
Compliance requirements: You can ensure compliance and authentication by granting editing permissions only to authorised users, such as in signature sections.
Workflow optimisation: Section permissions can also be used to optimise workflows. For example, you can restrict access to certain sections of a form to ensure that each team member only sees the information they need to complete their specific task. This can help streamline processes and improve efficiency.
Quality control: In some cases, it may be necessary to restrict access to certain sections of a form to ensure quality control. For example, you may want to restrict access to a section of a form that contains critical data, such as product specifications or quality control checklists, to prevent unauthorised changes that could compromise product quality.
Overall, section permissions provide a high level of control over who can view and edit each section of a form, which can be useful in a wide range of scenarios.
Step-by-Step Guide:
Open the Form Builder and click on Form Settings at the top of the page.
Select the Form Permissions for the overall form and choose the groups that will be involved in this form, e.g., admin, management, and student.
Customise each group (department) form management and access permissions from the Form Settings window.
Note:Hover over the "information icon" to learn what each permission can do.
Administrators have all feature permissions turned on by default and cannot be edited/changed.
Contributors are enabled by default to allow you to share the form with users who are not part of a group. This is the default option for sharing the form with users. You can customise the default Contributors permissions also.
If any sections of your form require unique permission settings, create a separate section for them to allow for different permissions from the rest of the form.
For each selected group (e.g. admin, management), select the permissions you would like to grant to them on each section by clicking on the Section Settings Icon.
Note: You can choose between “Can Edit” and “Can View” options for each group, depending on the level of control you want them to have over the form.
Complete designing your form.
Finally, click on the "Publish" button to start using your form.
