In IndyForms, setting Due Dates on form records helps automate reminders so you don’t have to chase people to complete their forms.
When a form record has a due date, it automatically appears in the To-Do List, Calendar, and in email reminders. This gives each user (and administrators) a clear view of what’s due today, what’s coming up, and what’s overdue — all without needing manual follow-ups.
How Due Dates Work
Add a Due Date when creating or updating a form record.
That record will appear in the To-Do panel and Calendar for the assigned user(s).
Automated email reminders are also sent to users when they have upcoming or overdue forms.
Users can then open the record, complete it, and mark it off the list.

Default Due Date in Form Settings
In the Form Builder, you can set a default due date for new records in the Settings tab.
Choose “Set Date” or “Days From Creation.”
This default applies to every record created from the form.
You can override it later when sharing or editing a record if a different deadline is needed.
The To-Do List on Your Dashboard
On the dashboard, the To-Do panel shows:
Today → Forms due today
This Week → Forms due later this week
Overdue → Forms past their due date
Clicking any number opens the Due Forms list, where you can take action.
Email Reminders (Digest Emails)
IndyForms automatically sends Digest Emails for overdue and upcoming forms.
Each digest email includes:
A summary of items requiring attention.
Separate sections for Overdue Forms, Upcoming Forms, and Overdue Action Items (if applicable).
Direct links to each form record so they can be opened and completed quickly.
These digest reminders ensure that users remain on track with their due items, even if they are not actively logged into IndyForms.
Note: Digest Emails are not enabled by default. To activate them for your organisation, please request this through the in-app support chat or email indy@indyforms.com.
Adding or Updating a Due Date
Due Dates can be set when creating a new form record or updated later if the deadline changes.
To set or update a Due Date:
Open the form record.
Select Set Due Date from the top menu (or use the due date icon in the list view).
Choose a date and time from the calendar picker.
Click Save to apply.
✅ The record will now appear in the To-Do List, Calendar, and email reminders for the assigned user(s).
Note:
Only Administrators and groups with the Change Due Dates permission can update due dates for records they can view.
If a Due Date is cleared, the record will no longer appear in the To-Do List, Calendar, or email reminders.
You can also set or adjust the Due Date at the moment you share a form record or when editing an existing record. This ensures deadlines can be applied right when tasks are assigned.
User View vs. Admin View
General Users
See only the forms assigned to them.
Can open and update records (e.g., complete or edit forms).
Cannot change due dates unless their group permissions allow it.
If they don’t have permission, they’ll see: “You do not have permission to change this record’s due date.”
Administrators
See all upcoming and overdue forms across the organisation.
Can open and update any record.
Can update or reschedule due dates as needed.
Changing Due Dates
By default, only Administrators can change due dates.
However, General User licence holders can also be given this ability if their group permissions allow it.
To enable due date editing for a group:
Open the form in the Form Builder.
Go to the Settings tab.
Scroll down to the Permissions panel.
Under All Records, tick Change Due Dates for the relevant group.
Save your changes.
✅ Members of that group (including General User licence holders) will now be able to update due dates on records they can view.
Calendar View
The Calendar widget provides a monthly snapshot of all upcoming, due and overdue forms.
Click any date to see the forms scheduled for that day.
From this list, users can open records, and if they have permission, update the Due Date directly.
Overdue items display in red, due this week in orange, and upcoming items in blue.
The calendar is a central tool for planning audits, compliance deadlines, and team workflows.

Q. I don’t see anything in my To-Do panel. Why?
A. You may not have any form records with Due Dates assigned to you.
Q. Why can’t I change a due date?
A. Only Admins or groups with the Change Due Dates permission can do this.
Q. How do I clear an overdue item?
A. Open the record from your To-Do list or email reminder, complete it, and then submit the form. Once submitted, the record is marked complete and will disappear from your overdue list.
Q. Can I set a due date automatically for all new records?
A. Yes. In the Form Builder’s Settings tab, you can choose a default due date (fixed date or days from creation). This can always be overridden later on a per-record basis.
