How to Use Action Items

The Action Items feature allows users to efficiently track and complete tasks.

The Action Items feature allows users to efficiently monitor and complete tasks. Users can mark action items as done, add notes, attach files, include links, and provide evidence, making it a versatile tool for managing tasks.

Action Items are available to Premium and Enterprise accounts, including Premium Trial accounts. IndyForms Administrator Users can see all Action Items in the organisation, whereas all other IndyForms users can only see their action items.

  • Tracking action items from a meeting that need follow-up.

  • Managing action items for maintenance repairs.

  • Creating new policies or procedures in response to an incident.

  • Monitoring action items related to project milestones and deadlines.

  • Assigning and tracking action items for employee performance reviews and goal setting.

  • Managing action items for compliance and regulatory requirements.

  • Tracking action items for process improvements and quality control initiatives.

Step-by-Step Guide: Creating Action Items

  1. Select the form record where you need to add action items and click on Update.

  2. Open the side panel for Action Items.

  3. Click on + Add Action Item.

  4. Provide a label and description for your Action Item.
    ​You can also attach documents, links, images, and videos to the description to make the task clearer.

  5. Set a Due Date for your Action Item.

  6. Assign your Action Item to one user or multiple users.
    ​Note: Only users with permission to view the form record, such as contributors, can be assigned action items. If you don't see the user you need, add them as a contributor to the form record.

  7. Click Save to set your Action Item.


Step-by-Step Guide: Completing Action Items

  1. From the Dashboard, click on the Action Item you need to address.

  2. Click on the Checkbox next to the Action Item you want to mark as complete.
    ​This will prompt the Comments box to appear, where you can input notes about the completed action item. You can also attach files, provide links, and add additional evidence.

  3. Click Action to save your comments.

  4. Your completed Action Items will now be displayed under the Completed Filter for Action Items.
