How to Create Templates for Bid Packages

Create Q&A's, Project Scopes, Service Assumptions and Terms & Conditions templates that can be used within Proposals.

Background/Overview

A template within proposals is a way to save typed information or attachments into your workspace that can be referenced in the future for other bid package RFPs. This will reduce the time needed to type repetitive information/ double entry. All workspace types have access to these templates. The template can be used on any project's bid package across your company's workspace. 

Process

Add Q&A Templates

You can add templates for qualifying questions that you want bidders to answer within an RFP sent from your Bid Package using Q&A templates.  This is a way to qualify and differentiate bidders against each other. 

  1. Click the Proposals dropdown menu on the lefthand navigation. The template types include the following: Q&A's, Project Scopes, Service Assumptions and Terms and Conditions. Click Q&A Templates tab within the Proposals dropdown window > Click Add New Template

  2. Enter a Name for the template

  3. Click Add Questions:
    Text Input: requires bidder to type an answer as a text
    Yes/No: limits bidder to 1 choice
    Dropdown: allows bidder to choose one option from available options that you must enter
    Multiselect: allows bidders to choose multiple options from available options that you must enter
    Number: limits bidder to only input a numerical response
    Attachment: requires bidder to upload an attachment as the response

View on Bid Card: choosing to apply this will show the question and bidders response on the bid leveling when comparing bidders. To remove a question from being sent to the bidder, delete 🗑the question.
4. Click Save
The template will appear on the Q&A Templates page. Once saved, this template can be referenced in the Bid Package setup. 

Note: The template(s) will be accessible to anyone in your company to use for proposal with the Admin or Project Executive account type or anyone assigned to the Proposal. 

Add Remaining Templates

  1. Click the Proposals dropdown menu on the lefthand navigation. The remaining  template types include: Project Scopes, Service Assumptions and Terms and Conditions. Select the template tab you wish to add a template to:

2. After selecting the template type, click the round plus-symbol in the bottom righthand corner to Add Template > add a Template Name then enter the text for that template > add tags and attachments if applicable > click Save
