New Feature Release (👏 !!!):
Meeting Minutes: We’ve enhanced the UI/UX of the meeting minutes feature and increased its efficiency in the following ways:
Meeting Versions: Improved meeting minutes versions of the same meeting are now nested within the meeting list view instead of stacked one after the other.
Create New Meetings: You can now start or create new meetings by clicking on the button at the top right corner. Previously the create new meeting was a plus icon on the lower right corner.
Improved creating a new meeting field requirements and interface. New field requirements are Subject, Purpose, Meeting Date, Frequency, Select Template. New feature - Select Template allows users to create templates on the platform.
Now, users can update the meeting date and time until the meeting has been shared. Once a meeting is shared, that version of the meeting, including all notes and information, is locked and can not be edited any further.
The feature “Attendees” has been revised to “Members.”
Adding or Editing Meeting Minutes: Create new meeting instances and delete existing meetings directly from the Meetings list view.
You can edit or add discussions in meeting minutes by clicking on the Minutes tab without having to click out of the page to add a new discussion.
You no longer need to select target dates or check off creating a task. You will now have the option to create a task in the minutes tab and will be able to customize and add the task.
Any user can add new categories and topics. Previously admins were the only user able to add categories and topics within the meeting minutes.
Creating a task inside a meeting topic is easier with a new “Add Task'' button. Previously it was an on task button that didn't allow you to say none. Also, the user can add multiple members to the task for collaboration.
Adding files to meeting topics can be done by using the “Attach files” icon.
The users can now view Milestones and Tasks for the project as a reference while creating minutes with a quick view. You do not have to leave from the meeting minutes module to view these.
Meeting minutes will be saved once clicked out of the box without having to click a “save” button. Users can save manually by selecting “ctrl + enter” on their keyboard and hit “Tab” to continue to toggle to the next topic.
Users have the ability to delete meetings that have not been shared.
Exporting Meeting Minutes - When exporting meeting minutes, we have added the following features:
Send Agenda button - all on-system users will receive a notification of new meeting minutes. A PDF export will be sent to all meeting members. If an on-system user wants a history of meeting minutes, the PDF export can be created.
Meeting minutes view shows more content and a clear message.
Purpose field allows the user to input the purpose of the meeting.
Meeting members information.
Title in the top right corner was added for quick reference.
Item Status and Task Status shown for each topic and item within meeting minutes.
Feature Enhancements (👊 Niiiice):
Tasks: Filter to tasks was improved regarding when checklists were completed when you’re not the originator - it was not appearing under “unfinished tasks” when checklist items were completed yet still under review.
Project Tasks: Clicking a project name within a Task will take a user to the Project Summary Screen.
Invitations: Users will no longer receive additional invitations to projects already in their workspace when assigned new tasks.
Workflow Enhancements (🙌 Yay Efficiency!):
Tasks: If you click on a project name within a task, the project name is now hyper-linked to be able to directly access the project from the task.
Contracts: When adding a new vendor contract, users are now prompted to select the contract type prior to inviting the vendor.
Project Navigation: Design review module has now been reactivated
Contracts: Error message shown when syncing shared files have been removed.
Project Dashboard: Quick Links are active below milestones for all environments.
Companies: Issue where adding new companies was limited to “Architect” type has now been fixed.
Tasks: Tasks are now visible to external contacts who have been assigned tasks within the contact’s Kanban view.
Lists & Templates: Users can now import existing templates for use on a project.
Documents: OpenCA accounts now display accurate measures of data storage within documents feature.
