Create a financial approval workflow for project budgets!

Overview

Financial approval workflows allow users to establish custom workflows and approval sequences for use within their Project’s Budgets. In the near future, this same workflow approval will also apply across other financial modules, including Budget Changes, Contracts, Change Orders, and Invoices.

Pre-requisite

You must have an Administrator account type to create this workflow.

Process

  1. To get started, from the left-hand navigation menu, select Lists & Templates

2. Scroll down to Financial Approval Workflows and click View Approval Workflow Templates

3. On the top right-hand side, click Add Template. You will be prompted to give this template a name. Once added, you can adjust the name of the template and add a description to give your employees more context as to the type of project where this template should be used.

4. On the top bar, there are two options; you can toggle the sequence on and off, which means the approval workflow will need to pass through the employees or roles listed sequentially before a budget is approved. You can also toggle the approval limit on and off to specify whether a specific employee or role has a maximum amount where they can approve.

5. To add the first employee or role, click on the drop-down menu, and select a role. Then, specify the approval limit as shown below. In this example, the Associate is the first approver with a limit of less than $50,000. This means that the Associate will be able to approve a budget of less than $50,000.

6. To add another approver, click on + Add Approver at the bottom. In the example below, similarly, the Project Manager can also approve a budget of less than $150,000. The Vice President has no limit and can approve any budget.

  • Note that if you need to re-order the approvers, you can always do so by clicking and holding the icon to the left of the sequence and dragging up or down. Similarly, if you need to delete an approver, you can do so by clicking on the trash icon to the right of the limit.

7. Once you are finished, click the Save Template button found within the Actions button at the top of the page.
