Overview
Financial approval workflows allow users to establish custom workflows and approval sequences for use within their project budgets. These workflows also apply across other financial modules, including Budget Changes, Contracts, Change Orders, and Invoices, ensuring seamless approval processes throughout the platform.
Prerequisite
You must have an Administrator account to create and manage these workflows.
Process
Navigate to Workflow Templates
Create a New Template
Select Modules, Clients, and Client Approval if applicable.
Modules: Modules for which the template will be possible to use.
Clients: Clients for which this template will be possible to use.
Client Approval: Setting that will be applied when this template is used.
Set Workflow Options
Add Approvers and Limits
Select roles or employees from the dropdown.
Tip: Learn how to Configure Project Roles prior to creating these templates to ensure the correct role is selected.
Assign approval limits:
Example: An Associate can approve budgets under $50,000, a Project Manager under $150,000, and a Vice President with no limit.
Reorder approvers by dragging their names, or delete them using the trash icon.
Save Your Template
Once the workflow is configured, click Save in the top-right corner.
Note: When a user assigns a client to a project that lists the client in the template, the project will automatically pull the template based on the module assigned to it.
Project Settings
Under Project Settings, navigate to Financial Approval Workflows, choose a Module you want to set up a workflow for, then click Edit.
Click Create Approval Workflow, then select Use Existing Workflow Template. Click Choose Template.
You will see a list of templates available for the clients and modules selected.
You can toggle on Show Unavailable to see the templates that are not available.
