Project setup & budget creation portion of simulated training project

🚨 Training Module 1 uses Project A. Make sure you are in Project A for the following activities.

Project Set-Up

Let's setup a project in INGENIOUS.BUILD!

A. Update Project Information

  1. Navigate to Project A by clicking Projects> Projects on the Left Hand Navigator

  2. Once taken to the projects list, click on Project A - Your Name

  3. Using the Project Navigation Menu go to Project Settings.

  4. Once in the Project Settings go to the Project Information tab and click the Edit button to update the project information to the following:

    1. Baseline Project Start Date: 9/1/2023

    2. Baseline Project End Date: 01/29/2025

    3. Sector/ Industry: Office

    4. Unit of Measure: Imperial

    5. Rentable Area: 50,000 RSF

  5. Click Save Settings

  6. Go to the Financial Approval Workflows tab to turn off client approval.

    1. Click Edit

    2. Select Disabled for all items

    3. Click Save


B. View Project Directory

  1. Using the Project Navigation Menu go to the Project Directory.

  2. Take note of the pre-populated contacts for each vendor profile

    1. YourCompanyName – Project Manager Contact: YourName

  3. As you add people to the project they will automatically populate to the Project Directory. You can also add people to the project directly from the Project Directory.

  4. You can also indicate the role of a company on a project. Click the edit icon next to Project Role next to your company name

  5. Type Owner and click the green check mark


Cost Codes / Master Project Budget / Templates

C. Master Project Budget / ACR Setup

You will now setup a budget for your project! 💲

  1. Using the Project Navigation Menu or the Project Dashboard navigate to the Master Project Budget / ACR.

    1. Make sure you are in the Owner Budget (not My Budget) tab in the top right-hand corner.

  2. Once you get to the Master Project Budget / ACR you will be prompted to choose a budget type. Select a Single Master Budget by clicking Create Single Master Budget.

  3. You will be prompted to select a template for this budget. Select the Life Cycle Format - Standard Tenant Improvements template by searching for it in the search bar or finding it in the list. This will import the cost code structure for your project budget based on a standard tenant improvement type project. Click Load List.

  4. You will be prompted to confirm your project base currency as USD. Click Proceed.

    1. For the sake of this training please select USD regardless of your region's currency type.

NOTE: The full library of Templates and the master lists from which they are made can be found in the Lists and Templates tab in the Left-Hand Navigator. Project Managers have view only access to the lists and templates. Once using the system for real projects, if there is a template you would like to create or an item you feel should be added to the master list please contact your system administrator. Only system administrators will be able to edit the Lists and Templates.


D. Build the Master Project Budget Detail

  1. Click the [+] indicator on the left of the Category # column header to expand the budget so you can see all cost codes displayed on this Master Budget/ ACR

  2. Find the Cost Code: 02.0210 Architect under Professional Design Services, and click on the “$0.00” in Column ‘A’ Original Budget to open the budget line detail window for this cost code

  3. Click Load from Template.

  4. Load the Architect - Ten Rep Interiors Concept - Ten Rep Interiors Conceptual template by selecting it and clicking Load to import preset budget line details for this cost code.

  5. Enter the associated line item cost values found in the following image:

  6. Click Save to save your progress.

  7. Follow steps 2-6 to fill out the rest of your budget detail with the following information:

    1. Cost Code: 03.0490 Project Management Services

      1. Template: Project Manager - Ten Rep Interiors Conceptual

    2. Cost Code: 04.0605 Construction - Interiors

      1. Template: Construction (Base Bldg. and Interiors) - Ten Rep Interiors Conceptual

      2. Delete the Construction - Restroom Upgrades and/or Modifications line item using the trash can on the right end of the line item.

      3. Reorder the line items to look like the following image by dragging each line item by the three horizontal lines on the left side of the line item, and input the following values:

    3. Cost Code: 08.1090 Project Contingency

      1. No Template. Use the Add Budget Line button to manually add the following cost detail:

  8. The total budget at this point should be $5,242,875.00. If your budget total is different than this make sure to double check the numbers that you input into the cost codes referenced above.

  9. Download a PDF of the Budget Authorization.

    1. On the Budget/ACR screen click on the Export icon in the top right corner of the screen.

    2. Click Export to PDF.

    3. Select Budget Approval Authorization PDF > Export > Rentable > Confirm.


E. Approve the Budget

DID YOU KNOW?💡 Approving the budget as "final" locks in the Original Budget values in Column A of the Master Project Budget / ACR.

  1. Click Approval Budget at the top right of the Master Budget/ ACR.

    1. Enter “Your Name_Training” as the Approval Name

    2. Select Final Approval

    3. Type 'YES'

    4. Add the date under Add Note (this is a required field)

    5. Click Approve

      1. You can disregard the yellow banner, as it is a reminder to create a formal approval process, which is not necessary in this training.


Funding Sources

F. Allocate Funding to the Budget

  1. Create Tenant Funding Source

    1. Using the Project Navigation Menu select Funding

    2. Click the button for Add Fund

    3. Funding Method: Project Specific

    4. Add the Funding Source Name of "Tenant Funding"

    5. Under Provider, select John Smith at ABC

    6. Allocate the entire budget to the Tenant (until we know what the allocation to the landlord will be).

      1. Click the calculator icon next to Allocation to Project.

      2. Add a line called “Conceptual Budget {Today’s Date}with an allowance of $5,242,875.

    7. Click Save

    8. Click Add New Fund to save the information entered.

  2. Create New Landlord Funding Source

    1. Click the button for Add Fund

    2. Funding Method: Project Specific

    3. Provider: William Starr at WRS Ownership Partner

    4. Funding Source Name: Landlord Funding

    5. Allocate a portion of the budget to the Landlord

      1. Click the calculator icon () next to Allocation to Project.

      2. Add a line called “Landlord TI Allowance” with a contribution of $70/RSF provided by the Landlord

    6. Click Save

    7. Click Add New Fund to save the information entered.

  3. Adjust Tenant Funding Amount

    1. Now that the portion of the budget that will be funded by the landlord is determined we need to adjust the Tenant Funding amount so that the project is not overfunded. Click into the Tenant Funding funding source and select Edit

    2. Reduce the Tenant Funding amount

      1. Click the calculator icon () next to Allocation to Project.

      2. Add a line called "Landlord TI Allowance" with a deduction of $-70/RSF. Make sure you include a negative amount when entering the Unit Price since it is a deduction of what the landlord is funding

      3. Click Save

    3. Click Save in Edit Fund (Total funding should now be $5,242,875.00)

Export Project Budget

G. Export Master Budget Summary and Details

  1. Almost there!👏 You will now export your Master Budget Summary and Details to document completion of the module. Navigate back to the Master Project Budget / ACR

  2. Click the Export Icon at the top of the page

  3. Export to PDF

  4. Select Project Budget PDF and click Export

  5. Select Rentable and click Confirm

  6. Select Budget Summary & Detail and click Confirm

  7. Save this pdf to a folder on your computer. All exports can be emailed to your INGENIOUS.BUILD company administrator if requested.

  8. Take some time to look over the pdf you have exported to understand how the changes you made in the platform reflect on the Master Budget Summary and Details

You now know how to setup and create a budget for your projects. Congratulations, Module 1 is now complete and you are ready for Module 2! 🎉
