Sealed Bidding

Overview

Within Bid Packages, use Sealed Bidding to keep received proposals hidden until they are unsealed.

Pre-requisites

Create a Bid Package to use Sealed Bidding. To add a bid package to a project, the Master Project Budget must be set up first. The budget does NOT need to be marked as Final Approved.

Process

Enabling Sealed Bidding

  1. Create the Bid Package. On the Details Tab, there is a toggle for Sealed Bidding. Turn the toggle on to enable Sealed Bidding.

  2. Once enabled, select when the bid can be unsealed. You can specify that the bid should be unsealed when a certain date is reached, or when the date is reached with a minimum number of proposals received.

    If you choose the first option, enter the date and time the bids can be unsealed.

    If you choose the second option, specify the number of proposals that need to be received to unseal the bids.

As bids are received, the bid card status will update, but the details of the proposal will not be available until the Sealed Bid conditions are met.

Modifying the Sealed Bid

Click Modify Sealed Bid to change the Unseal Bids Date or manually unseal the bids. You will be required to enter a reason for the change.

If you update the Bid Due Date, your bidders will receive an email and in-app notification.

Changes made to the bid package, including modifying the sealed bid, are recorded on the Timeline.

When Bids are Unsealed

When bids are unsealed, either by the conditions being met or by manually unsealing, the details of the proposals will be available for review.
