What Are Payroll Import Settings?

Before you can import payroll data into Inn-Flow, you need to configure which bank accounts the payroll transactions will post to. These are the Payroll Import Settings, and they tell Inn-Flow where to record the payroll withdrawal and, optionally, where to create an automatic transfer to fund the payroll account. If these settings are not configured, you will receive an error when you attempt to import payroll via Accounting > Payroll Import.

Where to Find the Settings

Payroll Import Settings are configured at the entity (hotel) level, not at the user or global level. To access them:

  1. Go to Administration > Entities.

  2. Select the hotel you want to configure.

  3. Click the Subscriptions tab.

  4. Expand the Accounting subscription section. The payroll bank account fields are displayed here.

Fields on the Settings Page

You will see two dropdown menus under the Accounting subscription. Select the correct bank account from each dropdown and save your changes.

Auto Transfer Option

If you select two different bank accounts (for example, a payroll account and an operating account), a toggle labeled Auto Transfer will appear. When enabled, Inn-Flow will automatically create a transfer entry from the operating account to the payroll account each time you import payroll. This matches the common workflow where properties fund their payroll account with an exact transfer from operating before each payroll run.

If both dropdowns are set to the same bank account, the Auto Transfer toggle will not appear since no transfer is needed.

Note: These settings must be configured for each hotel individually. If you manage multiple properties, repeat the steps above for each entity.

What Happens Next

Once the Payroll Import Settings are in place, you can import payroll files. Go to Accounting > Payroll Import, upload the payroll file and Inn-Flow will use these settings to post the transactions to the correct accounts. For step-by-step instructions on the import process itself, see the article "How to Import Payroll."
