Filtering the schedule

Change your view of the schedule to see only the information you need

You can filter your schedule to help you see only the information you need and reduce clutter.

You can filter the schedule by location, user groups, practitioner, type of appointment, and appointment status. You can also view only practitioners who have available working hours or who have appointments booked for the day/week you are viewing.

Steps

Location

At the top of the schedule, select the appropriate location from the list. For more information about locations, see Creating and modifying clinic locations.

User group

At the top of the schedule, select the appropriate group from the list.
For more information about setting up user groups, see Creating user groups.

📌 Note: You must configure the groups that appear in the list to be filterable.

All, Physical, Virtual

At the top of the schedule, select All to see all booked appointments (in-person and virtual), select Physical to see only your in-person booked appointments, and select Virtual to see only the booked virtual appointments.

The one you select remains your default filter until you select a different one.

Practitioner, type of appointment, appointment status

1. Click the filter icon at the top-right corner of the schedule.

2. In the Filter Appointments window, select the Practitioners, Services, and Statuses you'd like to see on the schedule.

📌 Notes:

  • To clear the current selections and instead select the items that were previously cleared, select Invert Selections.

  • You can select a maximum of 16 practitioners. If you need to view more provider schedules, we recommend creating user groups (refer to Creating user groups).

3. Select whether you'd like to Show Group Visits using the checkbox at the bottom of the window.

4. The Classic Mode filter is enabled by default and only applies to accounts that were using the CHR before the 23.11.4 release (virtual visits update) June 13, 2023. For more information, refer to the note following this table.

5. Click Apply to apply your changes and update your view of the schedule.

📌 Note: When viewing a patient's appointment, you will see all appointments for the patient on that day, including with practitioners that are not currently selected in your filter.

💡 Tip: To clear the filters, select All Services and/or All Statuses in the Filter Appointments window.

Practitioners who have available booking times or appointments booked

Click the magnet icon to toggle the auto-practitioners filter on and off.

📌 Note: If you are in week view, the filter shows all practitioners who have availability or an appointment booked on at least one day of that week.

📌 Note: Virtual and in-person appointments booked in a specific clinic location display only in that location’s schedule. However, if you were using the CHR before June 14, 2023, when we released a virtual visits update, you could see all your virtual appointments booked in the historical hard-coded Virtual location in every location’s schedule. We therefore added a temporary Classic Mode filter that, when enabled, shows all appointments booked in the historical hard-coded Virtual location in every location’s schedule.
