There are two methods for blocking time off in a schedule:

  • From Settings > Scheduling > Vacation

    Booking your vacation time through the scheduling settings is useful if you are booking multiple days off. This method also allows you (and other users) to see all of your time off from one location. If your clinic is closed over a certain period, you you can book time off for all providers in the clinic (the account) at once instead of individually booking time off for every provider.

    📌 Note: To perform this action, you must have the Scheduling: Vacation permission (go to User permission options).

  • From the schedule itself, by choosing + Add > Off Time

    Booking time off from the schedule itself is useful for one-offs, such as meetings or afternoons off, or if you do not have access to the scheduling settings. For more information, visit Adding and removing time off in the schedule.

Regardless of which method you use, these blocks of time will not be available for patients to self-book but can still be booked by clinic staff, if necessary.

Steps

  1. From the main menu, click Settings > Scheduling > Vacations.

  2. For Account Vacations or Practitioner Vacations click Add. The New Off Time window appears.

  3. If you are scheduling time off for an individual provider, select a provider.
    If you are scheduling time off for the entire account, in the Vacation Name field, type the name of the off time, such as Canada Day.

  4. Adjust the Start Date and Start Time and End Date and End Time.

  5. Change the colour. This colour appears in the schedule.

  6. In the Memo field, type a description of the time off. This appears in the schedule at the top of the time slot.

  7. Click Save.
