Adding or updating pharmacies from the Provider Registry

📌 Note: PrescribeIT® is currently available only for TELUS CHR users in PEI. It will be more widely available in the future.

To send prescriptions electronically, pharmacies that you send prescriptions to must be enabled for PrescribeIT® and must be added to your CHR facilities list with their Provider Registry ID.

Every night, the TELUS CHR queries the Provider Registry. If a pharmacy in your local facilities list does not have a Provider Registry ID set, but has a fax number that matches to a pharmacy in the Provider Registry, the Provider Registry ID is automatically added to the pharmacy in your facilities list. (📌Note: If the same fax number is recorded for more than one facility, the query is not performed for those facilities). For pharmacies in your facilities list that already have a Provider Registry ID specified, the query will update the PrescribeIT® status and/or services for the pharmacy in your CHR (e.g. if the pharmacy is now available for e-prescribing or clinician communication).

You can search for and add new pharmacies to your facilities list from the Provider Registry, or update existing pharmacies with information from the Provider Registry.

💡 Tip: If you know the Provider Registry ID for a pharmacy, you can manually add it to the pharmacy in your facilities list. For more information, see Manually linking a pharmacy to one from the Provider Registry.

Steps

1. From the main menu, click Contacts and then click the magnifying glass.

2. Ensure Facility is selected from the list and then, in the Search for a Contact field, type part of the name or address of the pharmacy, or the phone or fax number. The TELUS CHR automatically searches your local facilities list, as well as the Provider Registry, and a list of matching facilities appears.

💡 Tip: To search the Provider Registry for a pharmacy in a different province than your CHR domain, click the location icon and select the province from the list. (The province search applies only to pharmacies in the Provider Registry. All matching facilities from your local facilities list will appear, regardless of province).

📌 Note:

  • The CHR will search the Provider Registry only if you search by Facility. If you search by anything other than Facility (e.g. Full Search, Fax etc.) only results from your local facilities list are displayed.

  • The CHR displays a maximum of 100 matching facilities. If there are more than 100 that match your search criteria, text appears at the top of the results and indicates that not all results are displayed. Refine your search to return fewer results.

  • If you do not have permission to create or update contacts, you do not see pharmacies from the Provider Registry.

In the list of matching facilities, you may see the following icons:

The pharmacy exists in your local contacts.

The pharmacy exists in the Provider Registry but not your local contacts.

The pharmacy is available to send e-prescriptions to.

Check for Provider Registry updates. This icon appears if the pharmacy does not exist in your local contacts or, it exists in your local contacts but the information you have for that pharmacy does not match the information in the Provider Registry.

3. Click the Check for Provider Registry updates icon to add a new pharmacy or update an existing pharmacy.

Adding a new contact

1. If the pharmacy does not match any of your local contacts (i.e. it appeared with the cloud icon), the Review new contact information window appears. The information from the Provider Registry is pre-populated for you, including the Provider Registry ID.

2. Enter any additional information you may need, and click Save.

The pharmacy is added to your CHR.

Updating an existing contact

1. If the pharmacy matches one of your local contacts (i.e. it appeared with the facility icon) but not all of the information is the same between the Provider Registry and your local contact, the Review and update contact information window appears.

📌 Note: A pharmacy from your local facilities list is considered a potential match to one in the Provider Registry if the Provider Registry ID, fax number, or phone number match.

The information from the Provider Registry is displayed on the left and the information from the pharmacy in your local facilities list is displayed on the right. Fields that do not match are highlighted in blue.

2. By default, all listed fields will automatically be updated in your CHR. If you do not want to update the information in your CHR with the information from the Provider Registry, clear the checkbox.

📌 Note: You cannot clear the checkbox for the Fax, Registry ID, or PrescribeIT services fields. If these fields are different in the Provider Registry, they must be updated in your local facilities list.

3. Click Update. The pharmacy in your facilities list is updated with the selected information from the Provider Registry.

Managing multiple matching contacts

1. If the pharmacy matches more than one of your local contacts, all possible matches are displayed.

a) If none of the local contacts are the same pharmacy as the one from the Provider Registry, click +Add new contact. Refer to Adding a new contact, above.

b) Otherwise, select the checkbox beside the appropriate pharmacy from your local contacts and click Continue. Refer to Updating an existing contact, above.
