If you use generic letters that are often sent with the same or similar message, we recommend creating letter templates. You can create letter templates, provided you have the right permissions (Settings > Permissions > Template: Letter).

Letter templates can contain variables for patient data and other data from your TELUS Collaborative Health Record (CHR), saving you time when creating letters. For example, you can insert patient name, demographic, clinic contact information, provider, or appointment information variables.

You have access to the following default letter templates in your CHR domain. You can modify, duplicate, or archive these as needed (see Archiving letter templates).

  • Referral Acceptance Letter

  • Referral Waitlisted Letter

  • Referral Rejection Letter

  • Referral Short

  • Health Profile

  • Referral Long

  • Chart Transfer

Steps

  1. From the main toolbar, click Settings > Templates > Letter.

  2. Click Add Template. The New Letter Template window opens.

    💡 Tip: To create a copy of a template, click the duplicate icon next to the template name.

  3. From the General tab in the Letter Name field, type the name of your letter template.

  4. In the letter text area, add text as needed.

    💡 Tip: You can format your text/ words with bold, italics, strike-though, underline, add bullet points. You can also add tables, text indents and text alignment.

  5. To insert a variable that pulls data in the letter from the patient chart, go to Adding data variables or to insert a variable that allows you to preconfigure text to fill in when prompted, go to Adding instant variables.

  6. (Optional) Use the Preferred Contacts tab to add contact(s) that appear in a list when Recipient is selected.

    1. Click +Add contact.

    2. Click in the Search for a Contact... field and enter the contact(s) name.

    3. Select a contact.

  7. Click Save.
