Export reports in Instrumentl

Share your progress with your organization through six different report options

Instantly analyze and share your grants progress with members of your organization by downloading built-in Instrumentl reports!

Please note that reports pull from information saved to your Tracker. If you are looking to export your list of Matches, you must first save any relevant Matches to your Tracker in order to download opportunities.

Please note: The ability to export reports is a feature exclusive to subscribers and is not available to free trial users.


Overview

There are six types of reports currently available: Opportunities, Awards, Financials, Tasks, Contacts, and Funders.

All reports are available to export as .csv files, allowing you to easily save your data as a .xlsx file for Excel, upload to Google Sheets, etc.

CSV/Excel exports are especially useful for data analysis or integration with other tools, helping you customize and manipulate the data to meet your specific needs.

  • Opportunity Report: Opportunity reports are the go-to report among users — they're most popular and frequently downloaded report containing Tracker data!

    • Contains your main Tracker fields!

    • Downloadable as a CSV and/or PDF.

    • The PDF report is a condensed version of opportunity breakdowns that is visually appealing, and contains a key opportunity names, deadlines, status, tasks, and notes.

    • The CSV downloads Tracker data, including Custom Fields. Exporting as a CSV is useful for sorting, filtering, data analyses, sharing, and comprehensive record-keeping.


Opportunity Report

Quickly download a PDF or a CSV/Excel file including all of the Funding Opportunity data in your Tracker.

  1. Click Reports from your Tracker view.

2. Click on Opportunities to generate a report.

3. Choose the Projects, Statuses and Date Range for your report. You’ll also have the option to include grants you've hidden from your Matches — this allows you to display the grants you've already reviewed and deemed bad fits.

Note: the Date Range is based on the dates in the Deadline column of your Tracker (Funder deadline, Submission goal or Submission date) coupled with how the Fiscal Year is defined in your Organization/Client Profile.

4. Click the Create report button.

5. Select whether you’d like to download your report as a PDF or CSV/Excel file.

PDF Opportunities Report

The PDF Opportunity Report will be ordered by fiscal year and include the following fields: Funder name, Funding Opportunity name, Deadline, Status, Amount, Next Task, and Notes.

Some users find this PDF report useful to print out and bring to board meetings as a quick, digestible visual that informs others of your progress.

Note: By default, the PDF report will show truncated notes. To include the full notes, click the arrow and select Include full notes from the dropdown menu:

A feature exclusive to the PDF Report is that the opportunity names are hyperlinked and clickable to open up the corresponding opportunity pages:

CSV Opportunities Report

The CSV / Excel spreadsheet will include all fields from your Tracker, including any Custom Fields! You can then filter, sort and further analyze your grants data using your .csv/.xlsx software (Microsoft Excel, Apple Numbers, Google Sheets, e.g.).

Note: Opportunities Reports only show the very next upcoming Task due for that opportunity. If you’d like to see all upcoming Tasks, jump below to learn how to pull a Tasks Report!


Awards Report

Want to see all of your awarded grants in one concise report? You can do so with the Awards Report! This report is exclusive to the Standard & Professional Plans and higher.

From the Tracker or Awards view, select Reports in the top-right-hand corner.

Select the Awards Report. You’ll then be prompted to select Projects, Statuses, Owner, and Date Range. Once finished, click Create report > Download CSV / Excel.

Then, a CSV / Excel file will download with all of your awarded grant information. This includes columns such as: Year, Project, Funder Name, Opportunity Name, Owner, Grant Period Dates, Status, Amount Awarded, Next Report Description and Deadline, Notes, Contact Information, etc.


Financials Report

Generate a Financials Report for your organization to review. This report is exclusive to the Professional Plan.

Individual Award Financials Report

When in the Financials tab of an award, click Download Report > Download CSV/Excel

A CSV / Excel file will then download with all of your awarded grant information. This includes information such as: Award Amount, Amount Spent, Amount Remaining, Grant Start and End dates, Status(off-track vs on-track), Last transaction date, Expense Categories, Expenses (ID, Description, Date, $ amount), Payments (from funder/award), etc.

All Awards Financials Report

To generate a report of all awarded grants at once, select Reports in the top-right-hand corner of the Awards or Tracker view.

Next, select the Financials Report > Download Reports.

You'll be brought back to the general Reports page, and there'll be a banner at the top of your screen that says "Your report is being generated. You will receive an email when it is ready."

The wait-time varies based on the amount of financials data and number of awards in your projects. Eventually, you'll see an email from hello@instrumentl.com with the subject line 'Your expense report is ready' and a Zip file attachment. Download the 'expenses.zip' file and open it up on your device. From there, you can see a list of .csv/.xlsx Financials Reports for all awards on your account.


Tasks Report

Stay up to date on your grants’ action items and check in on your team's progress by downloading a Tasks Report!

  1. Click Reports from your Tasks or Tracker view.

2. Select the Tasks Report.

3. Select the Projects, Task Status(es), Task Type(s), Assignee(s), Deadline date range, and Source of 'Year' Column.

4. Click the Create report button.

5. Select Download CSV / Excel.

The CSV / Excel file will populate all Tasks and their details for the associated projects. If your plan includes External Collaborator Access, you can include data for Collaborator assignees in your Tasks Reports!

This will include the fields: Year, Project, Funder name, Funding Opportunity name, Task type, Task Description, Due Date, Assignee, Collaborators, and Status.

If you want to customize this Tasks Report further, you can do so directly in a spreadsheet application like Excel! For example, you can use the Excel's filtering options to filter the report by Assignee or Task type. For more information on filtering, you may refer to Microsoft's Excel article.


Contacts Report

Download a Contacts Report as a CSV / Excel file to quickly see the information associated with each funder contact you've added in your Instrumentl account.

  1. Click Reports from your Tracker view.

2. Select the Contacts Report

3. Select the Project(s) for which you’d like to see contacts.

4. Click the Create report button.

5. Click Download CSV / Excel.

The CSV / Excel file will populate fields such as: Funder Name, Contact First Name, Contact Last Name, Role, Email Address, Phone Number, and Contact Notes.

***Note: The Contacts Report includes only the "Contacts" you have manually added to funders saved to your Tracker. If you haven't added any Contacts, there will be no report generated - instead, your best bet is to download a Funders Report


Funders Report

Instantly download a Funders Report to gather key information on the funders saved to your Tracker in a CSV / Excel file.

  1. Click Reports from your Tracker view.

2. Select the Funders Report.

3. Select the Project(s) for which you’d like to see funders.

4. Select Create report.

5. Click Download CSV / Excel.

The CSV will populate fields such as: Funder Name, Funder Type, Number of Saved Opportunities, Total Amount Requesting, Total Assets, Total Giving, Average Grant Amount, Median Grant Amount, EIN, Address, Phone Number, Website, Numbers of Points of Contact, and Funder Notes.

Note: For those on the Pro Plan and above, Funders Reports also include any Custom Fields you've created for funders.
