Depending on the status assigned to a funding opportunity, different date fields will be available. Each date field supports a different stage of your workflow — from planning and submission to notification and award management — helping you keep your pipeline accurate and organized.
The available date fields are as follows:
Fiscal Year
An opportunity is classified into a fiscal year once the status is Planned or further along. Each opportunity can only be classified into one fiscal year. Learn how to edit your fiscal year here.
If a grant does not appear under the expected fiscal year, verify its assigned fiscal year. For instance, a grant designated for FY 2025 will only appear when FY 2025 is selected:
Application Cycle
Users can select the Application Cycle they plan to aim for once the status is Planned or further along in the process.
Submission Goal
To add a Submission Goal, simply change the Status from Researching to Planned or any later stage.
Instrumentl's Tracker view is sorted by Grant deadline by default. Adding a Submission Goal date lets you set a planned submission date that Instrumentl uses to organize your tracker — helping you prioritize upcoming work and manage your pipeline proactively.
Submission goal dates are especially helpful for opportunities with multiple required stages. If a grant opportunity includes a Letter of Intent (LOI) or Pre-Application, you can add separate Submission Goal dates for each stage to plan ahead, track interim deadlines, and keep complex opportunities organized.
Tracking a full proposal deadline after receiving an invitation
Some funders don't publish a full proposal deadline publicly because the next stage is invite-only. If you've submitted an LOI and received an invitation to apply, the deadline won't appear on your grant's page — but you can still track it directly in your tracker by updating your status and adding a "Full Proposal Submission Goal" date.
Step 1 — Update your status: Navigate to your saved grant and change the status from LOI Submitted to Application In Progress. This signals that you're actively working toward a full proposal and unlocks the date fields you'll need.
Step 2 — Add your Full proposal Submission goal: Go to the Overview tab of the saved grant page and enter your deadline in the "Full proposal Submission goal" field.
Once saved, your grant will appear in the Tracker view sorted by that date — so it shows up alongside your other upcoming deadlines, and you won't lose track of it.
Note: The Full proposal Submission goal is your own internal target date. It will not update automatically if the funder later announces a public deadline, so double-check it if you receive any deadline communications from the funder.
Submission date
Users can select the date that the full proposal was actually submitted once the Status is Application Submitted or further along.
Expected notification date
Folks can jot down the expected notification date once the status is Planned or further along. This will help you keep track of your responses down the road.
Date notified
Users can select the date that they were notified of the outcome of their application once the status is either Declined or Awarded.
Start and end of grant period
When an opportunity is marked as Awarded, you can also select the "Start of Grant Period" and "End of Grant Period" to keep track of the duration of your grant.
