Best practices for hosting a Zoom meeting with your clients

Practice makes perfect

Practice with the members of your fellow sales to get comfortable with using Zoom before hosting a meeting with a customer.

Host your inner company meetings on Zoom

GM/GSM/POM & sales teams can host weekly group meetings on Zoom. This will help your team feel comfortable communicating in a digital environment.

Test your equipment

  • Test your audio and video equipment prior to your meeting. Make sure everything is working properly.

  • Check your camera - make sure you are centered on the screen.

Look your best

  • If possible, make sure lighting is coming from in front of you or from the side, this will help ensure quality video.

  • If possible, keep your background clear of distractions.

  • Remember to look at your webcam when talking!

  • Use gestures and mannerisms that you would typically use in person. This will help the conversation to feel more natural.

Prepare for your meeting

  • Login to your iPacket dealer portal

  • Pull up the customer’s vehicle of interest (review documents prior to your meeting)

  • Have a plan for other vehicles you may show your customer

  • Have a digital deal sheet accessible to show numbers (if possible)

  • Be ready to talk about trade appraisal. Consider using KBB or Edmunds trade evaluation tools

  • Let your Manager or Finance Manager know you’re hosting a meeting and provide them the meeting ID (encourage them to enter your meeting and say hello if necessary to answer questions)

Make sure everyone can hear you

Ask your participate if they can hear and see you before you start your presentation.

Stay relaxed and remain calm

Video conference meetings may feel uncomfortable, but rest assured they are surprisingly personal and fun for both the host and the participants. Stay relaxed. If something goes wrong or you're having trouble with the software, try these steps:

  • Stay calm, this is likely new and will take some time to master.

  • Let the customer know you’re new to Zoom and you’re still learning (they will understand)

  • Take note of your issue
