Accepting Studio Invitations

Updated over a week ago

When someone invites you to collaborate on their Studio in Iris, you'll receive an invitation — either by email or through a shared link. Accepting gives you access to the Studio with a specific role (Viewer, Producer, or Admin), letting you view or control sources depending on the permissions you've been granted.

What You'll Need

  • An invitation link — received by email or shared directly with you (via chat, messaging, etc.)

  • An Iris account — if you don't have one, you'll be prompted to create one during the process

  • The invitation must be accepted using the same email address it was sent to (for email-specific invitations)

  • A web browser with an internet connection

Invitation links work in any modern web browser, including mobile browsers.

Accepting an Invitation (Email or Link)

The process is the same whether you received the invitation by email or via a shared link.

Step 1: Open the Invitation Link

If you received an email invitation, open the email and click the invitation link or "Accept Invite" button inside it. If you can't find the email, check your spam or junk folder.

If you received a shared link, click or tap the link you were given.

Step 2: Review the Invitation

You'll see a landing page showing:

  • The organization logo (or the default Iris logo)

  • A heading: "Join [Studio Name]"

  • A message: "You were invited to join [Studio Name] on Iris. Accept the invitation below to join the Studio."

  • An "Accept Invite" button

Step 3: Click "Accept Invite"

Clicking the button redirects you to sign in or create an account:

  • If you already have an Iris account, you'll see the login screen with your email pre-filled.

  • If you don't have an account, you'll see the sign-up screen with your email pre-filled.

Important: You must sign in or create your account using the same email address the invitation was sent to. Using a different email will result in an error.

Step 4: You're In

Once you've signed in or created your account, the invitation is automatically redeemed and you're redirected straight into the Studio. You can start collaborating right away based on the role you were assigned.

While the invitation is being processed, you'll see a loading spinner. If something goes wrong, you'll see an error message with guidance on what to do (see "What Happens If…" below).

What Role Will I Have?

Your role is set by the person who invited you. After accepting, you'll see a role badge next to the Studio name in the Studio Switcher:

Role

What you can do

Viewer (GUEST badge)

View all sources, but not control them

Producer

Control all or specific sources

Admin

Control all sources and invite other users

You can't change your own role — only the Studio Owner or an Admin can adjust it.

What Happens If…

…the invitation has expired? You'll see "Invitation Expired" — "You are using an expired invite." Ask the person who invited you to send a new one.

…you use the wrong email address? You'll see "Wrong Email" — the error page shows a partially obscured version of the correct email (e.g., ts@.com). Sign out and sign in or create an account with the correct email.

…you already have a higher role in the Studio? You'll see "Higher Role Exists" — "You already have a higher role within this Studio than the one offered in this invite." No action needed — you already have better access.

…the invitation was already used or revoked? You'll see "No Longer Part of This Studio." The invitation has already been redeemed or you've been removed. Contact the Studio admin for a new invitation.

…you're logged into the wrong account? You'll see "Wrong User ID" or "Access Denied." Make sure you're signed into the correct Iris account. Use the "Sign In" or "Create Account" links on the error page to switch.

…the Studio has reached its collaborator limit? The invitation may fail to process. The Studio owner needs to upgrade their plan or remove existing collaborators before you can join.

…something goes wrong on the server? You'll see "Something Went Wrong." Try again later, or make sure you're logged into the correct account.

FAQs

Do I need an Iris account to accept an invitation? Not yet — but you'll need to create one. When you click "Accept Invite," you'll be prompted to sign up if you don't already have an account. The email field is pre-filled with the invited address.

Can I accept an invitation on my phone? Yes. Invitation links work in any modern mobile browser.

What role will I have after accepting? Whatever the person who invited you assigned — Viewer, Producer, or Admin. You can see your role badge in the Studio Switcher.

Can I change my role? No. Only the Studio Owner or an Admin can change your role.

What if I accidentally close the invitation page? Just click the invitation link again. As long as the invitation hasn't expired or been revoked, you can still accept it.

Can I be invited to multiple Studios? Yes. Each invitation is for a specific Studio, and you can be a member of as many Studios as you're invited to.

How do I know which email the invitation was sent to? If you use the wrong email, the error page shows a partially obscured version of the correct address (e.g., ts@.com).

Can the same link be used by multiple people? Only if it's an open invite link (a shareable link created by the Studio admin). Email-specific invitations can only be used by the intended recipient — they're one-time use.

What happens if the Studio is full? If the Studio has reached its collaborator limit, the invitation may not process. The owner needs to upgrade their plan or remove existing collaborators.
