Creating new tasks

Tasks help you manage workflow and ensure no step in your process is missed

To create a task, navigate to the main left menu > Tasks > in the top right, select + Task, and complete the following steps:

  1. Within the Add Task side menu, you will be required to add a task name and a category. There is also an option to add a description of the task. The category selected will determine where the task is displayed in the pipeline view.

  2. Next, set a department and an assignee if known. (Note that these are not required fields.) Adding these details will help you filter and view tasks across your business, and the assignee will be notified that they have been allocated a new task.

  3. The due date can either be a specific date or a date linked to the completion of a schedule item within a job. A task can only be linked to a scheduled item once it is assigned to a job with scheduled items.

  4. You can also set a tag on a task, which may help you filter tasks in the global task view. This would assist with bulk edits to assignees, task status changes, and task due dates.

  5. A checklist can be created for each task to clearly describe what is required to the assignee. To add a checklist, click in the text box below Checklist > Type to create item > press Enter to save the checklist item.

  6. Make sure to save your task using the button at the bottom right of the side menu.

  7. On the left side of the add task menu, you will see four buttons, as shown below. The first button is task setup, and the second button allows you to add messages or notes for yourself or other users.

  8. The paperclip button allows you to add attachments or photos to the task, to do this click the attachment icon. Next, select the + button, browse your network files, or drag and drop files onto the Attachments screen.

  9. The final (bell) button will allow you to set an email or text reminder related to the task or an email related to the completion of a task. Selecting the ✏️ icon will allow you to choose whether you want the reminder or completion notification sent by email or SMS, the date to send, and the time to send. You can also add a detailed message.
