Creating a request for quotes

The request for quotes feature allows you to send out multiple quote requests to your suppliers and contractors. This feature assists with tracking due dates, prices, and quote acceptance. If you commonly use the same suppliers/quotes during the estimating process, the RFQ can be templated to save you time.

Complete the following steps to create a request for quotes:

  1. Navigate to Request for Quotes within the relevant estimate

  2. Click on the +RFQ button in the top right of the screen.

  3. Enter a name to identify the request for quote. This may be the name of the project or the name of the cost category.

  4. Select the contact the supplier/contractor should reply to with their quote. This will typically be the employee carrying out the estimating work or a project manager.

  5. Select the due date for which you require the quote to be supplied.

    Note: this due date will appear in the RFQ email message sent to the contractor/supplier.

  6. Once you have filled in all the required details, select Create Request for Quote at the bottom right. You will then be able to edit the email message that is sent with the RFQ. The email will initially be in a default layout in the system.

  7. You can reformat and customise the email message as you need by inserting tokens. These tokens will automatically pull information already input relating to the lead/estimate.

  8. Select the Add quote item dropdown menu to select items from the estimate for which you want to receive quotes.

    Note: If an item against which you want to receive quotes is not already in the estimate, you will need to create it first from within Estimates > Costings.
