How to manage retentions on percentage complete jobs

JACK allows you to record retentions on the total amount being invoiced. This is typically used on percentage complete jobs, where the client withholds a portion of the invoice amount until certain conditions are met.

To allow retention on a percentage complete job, complete the following steps:

  1. Navigate to the relevant Estimate > Costings > click on Actions in the top right > click on Create Job.

  2. Select a Job Template if relevant and then use the dropdown to set the Job Type as Percentage Complete.

  3. Use the tick-box to enable Invoice Retention. Then, enter the Retention percentage amount to be applied on a per-invoice basis or the total retention amount across the Job.

  4. You must also choose whether the total retention is based on fixed price excluding variations or fixed price including variations.

  5. Add the job address details and click Save to create a Job.

  6. To create an invoice, navigate to the relevant Job > Job Financials > Client Invoices, and click on + Invoice at the top right of the screen.

  7. Clicking on Invoice Items will take you to the Manage Invoice Items pop-up, where you will need to add a percentage to be invoiced for each cost code. The retention amount will be automatically calculated at the bottom of the screen. Click Close at the bottom right to save the cost items.

  8. The retention amount will be automatically offset against the total invoice amount. Add a scheduled send date based on a specific date or a schedule item completion date, check the invoice due date, and then either save as DraftSave and Schedule, or, if ready to send to the client (invoice the client), click Save and Send.

  9. The total retention amount on all invoices will be displayed within the Client Invoices tab. At the completion of the job, or after meeting the required obligation, you can invoice the retention amount to the client by clicking on + Retention Invoice in the top right.

  10. Give the invoice a title, schedule the send date as you would with a regular invoice, and then enter an amount or percentage of the retention amount to be invoiced. Any remaining retention amount will be displayed. Click Save Draft, Save and Schedule, or if the invoice is ready to be sent to the client click on Save and Send.
