Create a Change Order From an Allowance Item

Track allowance balances and manage credits or overruns with ease

Overview

Create a change order directly from an allowance item in your job budget to track how much of the allowance has been used. JACK keeps your job budget up to date, whether the final cost comes in under or over the allowance.

Create a Change Order From an Allowance

Navigate to Jobs > select the relevant job > Job Financials > Budget and use the tick box on the left-hand side to select the relevant allowance item. New buttons appear at the bottom of the screen. Click Create Change Order to open the side menu, enter a Name, then click Save to finalize.

ℹ️ You can select an existing cost code or create a new one from the drop-down menu.

Add Cost Items

Within the change order draft

  • Scroll to the Cost section, expand the cost code and click Add Item to enter your line item details.

  • You can create a new item or select an existing one from your catalog.

  • Select the item Type and enter the Qty, UOM, Price Ea. and Markup.

Repeat this process as needed.

💡To make these cost items visible to your client, tick the box next to Owner Price.

Approve Your Change Order

When you're ready, click Save and Release to send the change order to your client for approval. If the client has already approved it outside of JACK, click Save and Approve to record the approval manually. Once approved, the change order will automatically update your Job Budget.

💡 If the change order exceeds the allowance, your job budget will adjust automatically.

Finalize Costs

If you've processed POs or Bills against an allowance but haven't used the full amount, you can credit the remaining balance back to your client. Navigate to Allowances > select the relevant allowance item and click [Credit button name - confirm in US portal]. This will automatically create a negative change order that can be applied to offset a future invoice.
