Approving, Syncing and Exporting Timesheets

Sign off on staff hours, send timecards to QuickBooks payroll, fix or resend a synced entry and export timesheet reports as CSV or PDF.

Overview

This article covers how to:

  • Review and approve timesheets

  • Sync timesheets to accounting software

  • Filter, search and download reports

  • Reset a synced timesheet

Before you start

  • Your user login will require write access to timesheets to approve them. This is found in Contacts > Staff > Your user > Access Permissions.

  • Staff and payroll periods must be set up. See [Timesheets: Setting Up Payroll Periods and Staff] [link].

  • Syncing timesheets to accounting software, you must ensure connection with QuickBooks, and each staff member linked to their payroll employee. (check out link above on connecting staff to your accounting software)

1. Review and approve timesheets

Go to Timesheets > All Timesheets. You'll see every staff member's timesheets across all jobs on one screen, grouped by payroll period and then by staff member.

To Approve look for the Icon:

  • Bulk approve an entire payroll period: click Approve at the top of the period to approve every pending timesheet in it.

  • Approve all entries per one staff member within a pay period: click Approve next to their name to approve all their pending timesheets for that period.

  • One entry: expand the staff member's entries, then click the Approve icon.

To edit an entry: click the pencil icon . From there you can:

  • Update the hours, hourly cost or cost code

  • Tick or untick Sync

  • Delete the entry.

2. Sync to payroll

  1. Once timesheets are approved, click Sync in the top right.

  2. Confirm in the pop-up. The timesheets will appear in QuickBooks, ready for payroll.

3. Filtering payroll list

Use the filters on All Timesheets or My Timesheets to narrow down entries by:

  • Staff

  • Payroll period

  • Date range

  • Status, for example Approved or Pending

  • Job name, for example searching "Sick Leave".

4. Download reports

You can download reports from both All Timesheets and My Timesheets:

  • One period: Click the download button on that period, then choose CSV or PDF.

  • Everything on screen: Click Download report, then choose CSV or PDF.

Reports include total hours for each period. The All Timesheets report also shows hours and status for each staff member.

5. Reset a synced timesheet

To edit a timesheet that has already synced:

  1. Click the pencil icon on the entry.

  2. Click Reset Sync, then Save and Close.

  3. Back on All Timesheets, click to confirm re-sync.

⚠️ Reset Sync does not delete the entry from QuickBooks. You'll need to delete it there as well.
