User Permission Breakdown

Here's an explanation of the different roles/permissions a user can have.

When you're setting up your Jetbuilt team, it's important to give each team member the correct permissions to ensure they have access to the things they need.

In this article we will explain specifically what is/isn't included with each permission.


To edit a user's permissions:

Go to Settings > Team, then just click on the name of a user to change their individual permission settings.


Here's a breakdown of each permission on the Project Building Platform:

Manage Billing Information
Upgrade/Downgrade Account; Add/Edit Payment Information.

  • Access the Billing page within the Settings area

  • Upgrade/Downgrade the account (Lite vs. Enterprise)

  • Adjust whether the billing cycle is annual or monthly

  • Subscribe, or cancel the subscription

  • Enter payment information

  • Edit the email address to which billing notifications are sent

  • Without this permission, the user has no access to the Billing area

Add/Remove Team Members

Manage and edit your team members and their roles.

  • Access the Team page within the Settings area

  • Invite new users, deactivate users

  • Edit user permissions (this can affect the price of your subscription, since turning on permissions for different platforms like Funnel and Install will add those platforms to your company's subscription)

  • Edit Office Location access permissions for each user (Enterprise only)

  • Without this permission, the user has no access to the Team area

Edit Company Settings (Admin)

Change Defaults, Currencies, Offices, Workflows, Protected Fields, and more.

  • Access the Company Settings area

  • Edit all aspects of company settings - company address, operating currency, tax preferences, labor rates, defaults, factors, labor presets, pricing programs, integrations, workflow options, etc.

  • Manage Company Office Locations (Enterprise only)

  • Change "protected" Factors and Service Packages

  • Lock/Unlock Project Files

  • While this permission most closely matches our old "Admin" role, it no longer gives the user access to all projects, permission to run company reports, or the ability to empty the trash - these are split up among new roles now.

  • Without this permission, the user has no access to the Company Settings area

Access All Office Locations

Can view all projects and pipeline numbers across all company Offices.

  • Users with this permission are automatically added to every company Office, and cannot be removed from an Office

  • On the Dashboard, this user can view the pipeline for every Office, or toggle between individual Offices as needed

  • Without this permission, users can only see projects in the Office(s) to which they have access. (You can edit an individual team member's Office privileges within Settings > Team)

  • The ability to create multiple company Offices is an Enterprise-Only feature

Access All Projects

Can view all projects within assigned Office Locations.

  • With this permission, the user is automatically added to all projects within their assigned Office(s)

  • Users without this permission, the ‘Team Viewing’ settings determine which projects they see

  • Lite users will always have access to all projects. The ability to turn this permission off to control which projects users can see is for Enterprise accounts only

Control Projects (Manager)

Approve projects before rendering proposals; can move project stages backwards.

  • Approve stage change requests (for companies using the 'Manager Approval' workflow option)

  • Move project stages backwards (non-managers can only move project stages forward one stage at a time - they cannot skip stages)

  • Empty the trash (non-managers can delete projects, but cannot empty the trash to permanently remove anything)

  • Edit protected factors and service packages

  • Lock/unlock project files

  • Assign an Engineer or Project Manager when Engineering Workflow is enabled

  • Without this permission (if the 'Manager Approval' workflow is turned on) users need permission from a Manager move a project from Estimate > Proposal, and Revisions > Proposal to render non-watermarked proposals

  • Users without this permission can still move projects to archived stages (ice box, template, lost, trash) without manager permission

Engineer Projects

Can scrub projects by validating or swapping items before allowing the project to proceed.

  • This permission is only utilized if your company is using the Engineering Scrub Workflow, which requires projects to pass through an engineering stage before they can be quoted and/or installed, depending on your company settings.

  • Users with the Engineer Projects permission will be able to scrub projects (approve the equipment quoted to the user to ensure that all products are compatible and will get the job done properly.)

Run Company Reports

Access the company reporting area to run pipeline reports.

  • This permission grants access to the Company Reporting section to run various pipeline reports

  • Without this permission users cannot access the Company Reporting area

  • Running Company Reports is an Enterprise-Only feature

Share Projects

Share any project with other Jetbuilt users outside of this company.

  • With this permission, users can access the 'Sharing' area within projects

  • Share projects with other companies who use Jetbuilt

  • Users without this permission cannot access Project Sharing

Design Report Pages

Access the Designer to create and design report pages and groups.

  • This permission allows users to access the Designer to create and edit report pages, and organize them into report groups that are used for rendering proposals

  • Without this permission, users cannot access the Designer, but they can still render proposals from existing report groups

  • Lite users will always have access to the Designer. The ability to turn this permission off to limit who can access the Designer is for Enterprise accounts only

Set Up Items from the Jetbuilt Product Database

If unchecked, this user is limited to items that already exist in your company database.

  • When searching for items to add to projects in the Builder, users with this permission will be able to view/add products from the Jetbuilt Database

  • Users without this permission will only see products that your company has used before, or custom products that your company has created

  • Lite users will always be able to use products from the Jetbuilt Database. The ability to turn this permission off to control which products your team members can use is for Enterprise accounts only

Manage Company Database

Access Vendors area, manage company products, create custom items.

  • This permission allows users to access the Vendors area to view and edit items in the database

  • Users with this permission can create custom products

  • Without this permission, users can still access the Vendors area, but they can only view the Dealer Pricing and Purchase Orders sections. They will have no access to the Product database

  • Lite users will all have this permission by default. The ability to limit who can manage the Company Database is for Enterprise accounts only

Push Updates to Products

Push product updates to your company database from within projects.

  • When product data is edited within a project, users with this permission can push those edits to the database to be saved for later use

  • Users without this permission can only pull from the database

  • Lite users will always be able to push updates to the database. The ability to limit which users do this is for Enterprise accounts only

See Costs and Margins

Ability to view costs and margins on projects; access the purchasing area.

  • With this permission, all costs and margins are visible on projects

  • Users with this permission can access the Purchasing area to create POs

  • Without this permission, users will not see any costs anywhere on the project

  • Without this permission, users cannot access the Purchasing area (since product costs are inseparable from purchasing)

  • Note that removing this permission does not prevent a user from accessing the product database in the Vendors area, which contains product costs. If the user should not be allowed to view any costs throughout the account, you should remove the 'Manage Company Database' permission as well

  • Lite users will always be able to view costs and margins. The ability to turn this permission off is for Enterprise accounts only

  • Tip: Temporarily turn this permission off to build projects in front of clients without them seeing your margins

Create and Edit Clients and Projects

Build new projects, adding items and preparing proposals.

  • With this permission, users can create/build projects, see the Project Details window within a project, and manage clients

  • Without this permission, users can view projects and clients, but they cannot create or edit them

  • Users without this permission can still render proposals, participate in project Discussions, and view/add Files to projects, but they cannot edit line items or other project details

  • Without this permission, users do not have access to the Additional Tools section of a project, which is where you can export CSVs of projects, export to Quickbooks, and more

View Projects

View projects and render proposals. If this is the only permission selected, user will have view-only access.

  • This is a base-user permission for the Projects platform. Users with any other Project permissions selected must also have this permission selected as a baseline

  • With this permission, users can view (but not edit) projects and clients, render proposals, participate in project discussions, and view/add project files

  • Without this permission, the user will have no access to the Project Building platform
