How to Mass Editing Tasks

A tutorial on how to mass edit tasks for the same job profile or tasks across numerous jobs.

As your firm evolves, so too will your workflows and processes. For instance, you may need to reassign tasks to a new team member or update due dates. Rather than editing tasks individually, which can be time-consuming, you can use the mass edit feature to update multiple tasks at once.

How to Mass Edit Tasks in a Specific Individual Job

Let's say you want to reassign a few tasks in a job to another member of your team because the original task owner is going to be on leave.

To edit tasks for a specific individual job, follow these steps. Keep in mind, following these steps will only allow you to change task names, due date, assignee, and dependencies.

  1. Go to the Jobs page and choose the job you'd like to edit.

  2. Under the task list, click the box to the right of the tasks you want to edit.

  3. Click the drop down arrow on the top right corner of the task list and select Edit Tasks.

  4. Make the change you'd like to make and hit Update Tasks.

How to Mass Edit Tasks in a Specific Job Series

Whereas the first set of instructions showed you how to edit tasks for one individual job, this next set of instructions will show you how to make edits for all of the series within a repeating job for a specific client.

To edit tasks for a specific job series, follow these steps. Keep in mind, following these steps will only allow you to change task names, due date, assignee, and dependencies.

  1. Go to the Jobs page and choose the job you'd like to edit by clicking the [...] sign on the right side of the job.

  2. Choose the magic job (this is the job that has the sparkle emoji next to it.

  3. Under the task list, click the box to the right of the tasks you want to edit.

  4. Click the drop down arrow on the top right corner of the task list and select Edit Tasks.

  5. Make the change you'd like to make and hit Update Tasks.

  6. Next, go back to the job series and delete all entries that are not started or complete. The reason why you'll want to do this is because the magic job will repopulate these entries with the updates overnight.

How to Mass Edit a Specific Task Across all Jobs

Let's say you wanted to take all tasks titled "Reviewed" and reassign the task to another member of your team.

To perform the same changes as listed above to a specific task across numerous jobs, follow these steps. Keep in mind, following these steps will only allow you to change task names, if they are completed or not, their due date, and assignee.

  1. Go to the Jobs page, then click on the Tasks sub-tab at the top.

  2. Search for the task you want to update. Keep in mind, this will show you all tasks with the name you're looking for, across all jobs.

  3. Using the check boxes on the right side of the screen, select all of the tasks you'd like to update. Please note that there might be multiple pages you have to update- you can view up to 100 tasks per page.

  4. At the top of the column, click the Edit icon, make the changes you'd like to make, then click Update [X] Tasks.

Lastly, don't forget to update any templates that might have the same tasks within them for future jobs.
