Overview

The Product Records report provides a complete view of all products configured in your Dashboard. It includes key details such as product name, brand, category, SKU, pricing, cost, tax settings, and inventory tracking status.

Use this report to review and maintain accurate product data, ensure consistency across your catalog, and support reporting and inventory workflows. It’s especially useful for auditing product setup, validating pricing and cost information, and confirming that products are configured correctly for sales and inventory tracking.

Note: This report focuses on product setup and configuration data only. It does not include sales, inventory, or other product performance metrics.

Review product catalog configuration

View all products configured in the system and verify key product attributes.

  • What products exist in the system?

  • Are product names, brands, and categories configured correctly?

Look up product attributes by Product ID

Use Product ID to retrieve product attributes such as name, brand, category, SKU, cost, price, and tracking status for reporting and analysis.

  • What is the name, brand, and category for this Product ID?

  • I have a list of product IDs from an export — what are their current prices and costs?

Review product classification and organization

Evaluate how products are categorized and branded within the catalog.

  • Are products assigned to the correct category and brand?

  • How is the product catalog organized?

Audit inventory tracking settings

Identify which products have inventory tracking enabled.

  • Which products are tracked in inventory?

  • Which products are not tracked?

While the first three use cases can be completed using the report as-is, the "Audit inventory tracking settings" use case requires additional configuration to surface the relevant data. See Use Case Example Configurations for setup instructions.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate reporting permissions enabled to see this report: Catalog Reporting > Catalog Records

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, your product workflows must be set up correctly:

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

This report shows business-level product configuration only

This report reflects business-level product records only — location-specific overrides or additions are not included here.

Assigned location permission does not filter this report

Because this report operates at the business level, there are no location-specific records to filter by. Users with assigned location permissions will still see all product records across all locations — location-based access restrictions do not apply here.

Inactive products are included — filter by "Is Product Active" to limit to active catalog

This report includes all products regardless of whether they are currently active or have been deactivated. Products that were sold historically and later deactivated will still appear as rows. Use the Is Product Active filter to restrict the report to products currently available for sale.

This report includes retail products only — memberships, packages, gift cards, and vouchers are not included

Product Records surfaces only retail products configured in the product catalog. It does not include other item types such as membership plans, packages, gift cards, account credits, or vouchers. Those item types are managed separately and appear in their respective reports. If you are looking to join on item IDs from a transaction dataset and the item type is not a retail product, this report will not contain a matching record.
