Overview
The Client Records report provides a complete view of all client profiles configured in your Dashboard. It includes key details such as contact information, address, demographic attributes, primary location, active status, marketing consent preferences, and client tags.
Use this report to review and maintain accurate client data and verify contact information across your client base. It's especially useful for auditing client profile completeness, validating marketing opt-in status before running campaigns, and building targeted client segments using tags, location, and demographic attributes.
Note: This report focuses on client profile and configuration data only. It does not include appointment history, sales activity, or other client engagement metrics.

Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Client Reporting > Client Insights

Location and Access Scope: What you see in the report depends on your access:
You’ll only see data for assigned locations
Row-level access may further limit visible data
If it looks like data is missing, verify your location assignments and access settings.
Required Setup: For the report to show meaningful data, you must have Client profiles created with individual details per client.

Report Caveats
There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.
Caveats | Details and Impact |
Primary Location Name is only populated for clients who have booked at least one appointment | A client's primary location is automatically assigned when they book their first appointment. Clients who were imported or created manually without ever booking an appointment will have no primary location — Primary Location Name and Primary Location ID will be blank for those records. For multi-location businesses, this can affect a significant number of clients, particularly those from data migrations. There is no bulk import tool to assign primary locations; this must be done via a CSR request to Client Communications. |
This report includes both active and inactive clients — filter by Is Active to scope to current clients | All client records are included by default regardless of active status. Clients who have been deactivated or merged will still appear as rows. Use the Is Active filter to restrict results to clients who are currently active in the system. |
Client Age and Client Birth Date are only populated if the client provided their date of birth | Client Age is calculated from the birth date stored in the client profile. If no birth date has been captured — these fields will be blank. Client Birth Month is similarly dependent on the birth date being on record. Using Client Age as a complete dataset for age-based segmentation will underrepresent clients without a birth date. |
