Sales Summary Dashboard

Overview

The Sales summary dashboard gives you a clear picture of how much money your business collected during a selected time period, and exactly where it came from.

Use this dashboard to review what was sold, how clients paid, and how card payments were processed across your merchant accounts.

Note: This dashboard only includes closed orders, and filters based on the date an order was closed — not the date the service was rendered or the checkout was started.

If an order is still open (for example, checkout was started but payment is pending, or the order hasn't been finalized for another reason), any sales tied to that order won't be included in this dashboard's totals until the order is closed. Although uncommon, this scenario can cause discrepancies when comparing the dashboard to other sales reports.

Use Total Collected in Payment Totals to reconcile what was sold, how it was paid for, and the breakdown of merchant sales by payment method.

Permissions & Dashboard Visibility

Access to the Sales summary dashboard requires users to have the following Data & Reporting permission enabled:

  • Financials reporting > Sales - Everyone OR Self

    • Everyone: Users can see sales data across all staff and locations they have access to.

    • Self: Users can only see their own sales data.

Keep in mind that two people can open the same dashboard and see different numbers, depending on their access level. See Reporting Permissions for more information.

Dashboard Settings

Use the filters at the top of the dashboard to adjust what data is shown. Click Apply after making any changes to refresh the dashboard.

  • Date range: Set the time period you want to review. Default setting: Last week

    • Note that Total collected uses the date a sale was made, while Payment methods and Merchant card sales use the date a payment was processed—so if a sale and its payment fall on different days, they may appear in different date ranges.

  • Location: Filter results to one or more of your business locations. Default setting: All locations

  • Merchant account: Filter the payment and card sales widgets to specific merchant accounts. Default setting: All merchant accounts

  • Staff: Filter results to a single staff member's sales. Default setting: All staff

Using the Sales Summary Dashboard

Select the Reports tab, then choose Sales summary from the Dashboards section in the left sidebar.

At the top of the dashboard, you'll find filters to set your date range and other options. Below the filters, you'll see three individual widgets—each showing a key total for the period, with a breakdown of the details underneath.

  • Total collected: The full amount your business brought in for the period, broken down by what was sold.

  • Payment methods: The same total, broken down by how clients paid (card, cash, gift card, and more).

  • Merchant card sales: Your card payment totals by merchant account, after processing fees are removed.

Click the > icon in the corner of any widget to access the data source report. Review the individual widget sections below to identify the source report for each.

Understanding the Dashboard Widgets

Note: Some widgets may show a "self-only" banner, which means you're seeing only your own data, even if you have access to business-wide data on other widgets. The banner is there so you don't accidentally compare your individual numbers against business-wide totals shown nearby.

Total Collected

Total collected sources data from your Daily summary report, and shows the full amount of money your business brought in during the selected period. This includes everything collected from sales, plus sales tax, tips, and fees—minus any refunds. Gift card and account credit corrections are not included.

The number at the top is your grand total: the full amount of money taken in during the period, including both the initial sale of items like gift cards and memberships and their later redemption. "Includes tax" directly below shows the sales tax portion of your grand total.

Each category in the list below breaks down the net and applicable tax collected based on what was sold:

  • Service: Net revenue and sales tax collected from services.

  • Product: Net revenue and sales tax collected from retail product sales.

  • Account credit: Money collected from account credit activity.

  • Gift Cards: Money collected from gift card sales.

  • Package: Net revenue and sales tax collected from package sales.

  • Prepaid Products: Money collected from prepaid product sales.

  • Gratuity: Tips collected during the period.

  • Membership (New): Net revenue and sales tax collected from clients signing up for a membership for the first time.

  • Membership (Recurring): Net revenue and sales tax collected from clients renewing an existing membership.

Payment Methods

Payment methods sources data from your Order Payments report, and shows the same total collected for the period, broken down by how clients paid. Gift card and account credit corrections are not included.

The number at the top is the full payment total. Below it, you'll see a breakdown by payment type:

  • Cash: Paid in cash.

  • Other: Paid using a custom payment method not listed above.

  • Gift card: Paid using a gift card.

  • Voucher: Paid using a voucher.

  • Account credit: Paid using account credit.

  • Card: Paid by credit or debit card.

Each payment type shows both the dollar amount and its share of the total as a percentage. The bar at the top of the widget gives you a quick visual snapshot of your payment mix.

Note: The figures shown in the Total Collected and the Payment Methods widgets will usually be very close, but they may not match exactly due to how they're calculated:

  • Total Collected is based on what was sold.

  • Payment Methods is based on how clients paid.

Please be aware that differences can occur at businesses that use custom payment types and voucher workflows.

Merchant Card Payments

Merchant card payments sources data from your Order Payments report, and shows your card payment totals for the period, broken down by merchant account—after card processing fees have been removed. Only card payments are included in this widget.

  • The large number at the top is your total card revenue after fees.

  • The individual lines below show the card revenue after fees for each of connected merchant accounts (when applicable)

Use this widget to see which payout totals across your business and staff merchant accounts, and to understand how much you're paying in card processing fees.
