👩‍🍳 Managing Creator Applications & Bookings

Learn how to accept, manage and monitor creator applications & bookings.

Once your campaign is live, creators will begin applying to visit your venue and promote your offer. This guide walks you through how to review, manage, and approve applications easily – so your brand gets the best content and experience every time.

🔍 Where to View Applications

  1. Go to your Bookings tab.

  2. You’ll start on the New Applications tab.

Here, you'll see all incoming creator applications along with key info like:

  • Creator name & bio

  • Featured content preview

  • Follower count

  • Engagement rate

  • Reach and Views

  • Follower location, age and gender distribution

✅ How to Approve or Reject Applications

There are a few approval types depending on what you selected during setup:

1. Manual Approval

  • Click into each creator’s application

  • Click Schedule a Visit and select the preferred visit date/time (from their suggestions) > Click Confirm to finalise the booking

  • You can add a voucher code by clicking + Voucher Code for the creator to redeem during their visit

  • Suggest alternative dates/times if none of their suggestions work for you

  • Add notes for creators to inform them of any other details they need ahead of the booking

  • To reject an application click Not Right for Us - it’s helpful for creators to leave a rejection reason (select from predefined or customise your reason)

🧠 Top-tip: Applications expire after 7 days, but it’s best practice to reply to creator applications as quickly as possible, ideally within 48-hours.

2. Smart Approval or Auto-Approval (Top Creators)

  • Creators matching your criteria will be auto-booked

  • You’ll see these under your Upcoming tab

  • You can cancel any unwanted bookings if needed

🔔 Notifications: You’ll receive an email or in-app alert whenever new applications or bookings come through (depending on your notification settings).

📆 View & Manage Bookings

Go to your Upcoming Tab to:

  • See upcoming creator visits, along with creator contact details

  • Filter bookings by location

  • Double-confirm upcoming bookings if using Smart Approval or Auto-Approval

  • Cancel bookings if needed

  • View featured content and Instagram/TikTok Metrics

We recommend checking your Joli account at least 3x per week to stay on top of applications, confirmed bookings or creator cancellations.

The In Progress Tab shows you all past creator bookings that still have outstanding content.

  • Creators have 14 days from the date of visit to upload all content

  • Stories are often uploaded very quickly, if not same day or during the visit

  • You can review the booking activity

  • Report Issues (see below)

  • View featured content and Instagram/TikTok Metrics

🔧 Reporting Issues - we suggest to click Report Issue as soon as anything arises (e.g. content is late, poor visit/creator behaviour etc.). Your report will go to our Joli support team, it will not be visible to creators, but gives us the opportunity to resolve any issues as quickly as possible.

📸 Post-Visit Content

Once a creator completes their visit, they’ll upload their content through the app and the booking will be moved to the Completed Tab.

You can:

  • View all completed creator bookings

  • View the full booking activity feed and creator feedback score

  • Download the media files

  • Review post metrics (reach, engagement, views)

Applications and bookings that were rejected, expired or cancelled will show up in the Archived Tab (top right of the page). You will also be able to see the cancellation reason if the creator has specified this.

💡 Top Tips

  • Approve bookings in a timely manner to keep creators engaged and excited - best practice is within 48-hours

  • Keep your ops/site team in the loop with booking alerts (set this per location in your location settings)

  • Use Smart-Approval to reduce admin – creators love instant confirmations!

  • Monitor the “Action Required” status in your Upcoming calendar to re-confirm any auto-approved bookings.
