Managing contracts using custom dashboards ("Views")

Creating a View πŸ“


πŸ’‘ NOTE: Views can be created in any workspace and are specific to the one that they exist in. i.e. a View will only pull information from documents within that workspace.

To create a View:

1. Under Documents click + next to the VIEWS heading.

This will pull all of the documents from your workspace into a dashboard, ready for you to customise as needed.

Customising a View πŸ‘“


When you first create a View, it will pull in all contracts from that workspace. From there, you can add additional data columns and filter and sort them to display the information you want to see. To customise a View:

1. Click + Add column.

To delete a column post-creation, click the header again and select Delete column from the kebab menu.

2. Select the relevant smartfield you'd like to display data from.

System Smartfields are default smartfields created by Juro. These are:

  • Description: the information in the Description field of a template

  • Document ID: the unique ID for an individual document

  • Document Type: the name of the template the contract was created from

  • Fully Signed: shows the date and time a document was fully executed

  • Last modified: the last time and date that a change was made to the document

  • Owned by: the contract owner

  • Status: the current status of the document. This will update automatically if the contract changes stages.

Filtering information in a View πŸš₯


You can sort and filter the information presented even further, e.g. to show only fully signed contracts. To filter your contracts:

1. Hover over the column, click the kebab menu and select Filter column.

2. Set your filter criteria.

To create a two-pronged filter, click + Add filter after setting the initial criteria.

Sharing a View with your workspace πŸ“–


By default, the Views you create are initially visible to your user profile only. To give the rest of your team access:

Back in your homepage sidebar, click the 3 dots and toggle on Share to workspace. To make a View private again, turn this option off.

Users in your workspace will now be able to see and access a read-only version of your View.


Exporting a View πŸ“€


You can also export your View as a CSV file in a few quick steps. To do this:

Back in your homepage sidebar, click the 3 dots next to the View name and select Export view to CSV.

This file will download straight to the desktop of the device you're working from.

As shown in the above image, you can also rename, duplicate or delete your View from this menu.


Triggering mass actions from a View πŸ’ͺ


To save time on tasks, you can bulk-execute the commands below from a View:

  • Archive, duplicate and move multiple documents in bulk.

  • Sign multiple documents in bulk (on documents that you are a signatory on).

  • Approve and reject multiple documents in bulk (on documents that you are an approver on).

  • Send multiple contracts for signing and approval in bulk.

  • Bulk assign access to documents.

1. Select the relevant documents in your View (the top checkbox to the left of the Document name column will select all documents in the View).

2. Select the option you'd like to trigger from the Actions banner.
