Inventory Reconciliation Made Simple with Kapoq Alerts

Inventory reconciliation is one of the most critical—and often time-consuming—parts of managing Amazon shipments. Discrepancies between what you send and what Amazon receives can lead to lost revenue, delayed reimbursements, and hours of manual follow-up. Kapoq’s Inventory Reconciliation Alert is designed to bring clarity and structure to this process.

Why You May See Closed or Older Shipments

All shipments surfaced in the alert are already closed, meaning Amazon has finished processing them. The alert may also include older shipments that were previously reviewed, resolved, or reconciled by your team or the brand — included for visibility and record-keeping so nothing falls through the cracks.

How the Alert Works

Once a shipment closes, Kapoq monitors it for discrepancies during the first 15 days after closure. During this window, the alert surfaces any differences between:

  • The inventory you reported sending to Amazon

  • The inventory Amazon shows as received

This gives you a clear, time-bound view of where counts don’t match and where action may be required.

Taking Action During the 15-Day Window

The initial 15-day period is the most important window for reconciliation. During this time, you can:

  • Review discrepancies directly in Kapoq

  • Take corrective action with Amazon (such as opening or tracking a case)

  • Update the shipment status within the alert

  • Leave internal notes to document findings, decisions, or next steps

This creates a centralized audit trail for your team, eliminating the need to track reconciliation efforts across spreadsheets, emails, or tickets.

Logging Actions for Each Shipment

The Action button next to each shipment lets you log the outcome of your review. Common actions include:

Action

When to Use

Review Complete

The discrepancy has been reviewed and resolved

Snooze

Action will be taken at a later time

Ignore

No further action is needed

For older shipments already addressed by your team or the brand, mark them as Review Complete or Ignore to keep the alert clean and current.

A More Organized Reconciliation Process

By surfacing discrepancies at the right time, guiding action during Amazon's critical review window, and providing clear status tracking, Kapoq's Inventory Reconciliation Alert turns a reactive process into a structured workflow — resulting in better visibility, faster resolution, and fewer missed reimbursements.
