Inventory Setup Guide

This document walks through Restock Settings, Lead Times, Reorder Frequency, Safety Stock, and Demand Planning.

Introduction

Kapoq's Inventory Module allows you to manage inventory plans, shipments, forecasts, and strategies — while monitoring key metrics to improve sell-through rates, in-stock performance, and IPI scores.

Kapoq’s Inventory Module allows you to manage inventory plans, shipments, forecasts, strategies, and monitor key metrics to improve sell thru, in-stock and IPI scores with ease.

The module takes into account current inventory utilization, storage capacity, and sell-through rates, all factored against your custom inventory plans to help you stay in stock while improving operational efficiency.

Daily alerts surface actionable tasks such as restock notifications, stranded inventory warnings, and excess inventory flags. Demand planning tools help you forecast accurately and stay ahead of potential stockouts.

Note: Inventory and Advertising work together in Kapoq. Setting up your inventory model early helps surface more relevant cross-module alerts — for example, alerts for ads targeting low-inventory SKUs.

Section 1: Inventory Restock Settings

Updating Inventory Restock Settings at the account level is the first step to syncing your inventory model and demand forecast. Establishing these account-wide defaults ensures that all alerts and recommendations are grounded in an accurate baseline before more granular customization is applied.

Recommended: Always configure account-wide settings first to establish an overall baseline inventory plan before customizing at the group or SKU level.

If this is your first time setting up inventory settings, Kapoq will display a guided wizard to walk you through the platform's inventory plan and model.

Section 1: Inventory Restock Settings

At an Account level, updating the Inventory Restock Settings will help sync an account's initial Inventory Model and Demand Forecast. It’s important to set up the overall account wide inventory settings first so all alerts and recommendations presented reference a more accurate and general baseline.

Once set up, Kapoq will present more relevant Restock Alerts based on defined Lead Times, Reorder Frequency, and Safety Stock.

Let’s work our way down the Settings page, inputting the default and overarching account parameters.


Lead Times

Lead Times tell Kapoq how early it needs to flag potential stockouts. Your lead time should represent the total elapsed time across the following steps:

  • Reviewing and approving the reorder

  • Creating a purchase order for your supplier

  • Providing shipment paperwork to your supplier

  • Supplier production time

  • Supplier shipment preparation

  • Transportation to Amazon

  • FBA warehouse receiving and processing

To configure: Navigate to Inventory Settings and enter your Lead Time value.

Default: 21 days. Update this to reflect the actual lead time across your account's products.


Reorder Frequency

Reorder Frequency syncs Kapoq to your existing reorder cycle so that reorder alerts are timed appropriately relative to your supplier relationships and processes.

To configure: Navigate to Inventory Settings → Restock Settings

Default: 21 days. Adjust to match your actual account-wide reorder cadence.


Safety Stock

Safety Stock acts as a buffer against unexpected disruptions — whether delays in lead times, inbound shipments, or Amazon's receiving processes.

To configure: Navigate to Inventory Settings → Restock Settings

Key trade-offs to keep in mind:

Demand Planning

The Demand Planning section generates an account-wide demand forecast based on historical sales data, which is then used to calculate restock amounts and future alerts.

To configure: Navigate to Inventory Settings → Restock Settings

Lookback Windows: Choose from 7, 30, 60, 90, or "Best 60" days of historical sales data. You can assign a weighted percentage to each period — the total across all periods must equal 100%. Out-of-stock days are automatically excluded from the calculation.

Demand Adjustment: Accounts for expected growth or decline in sales:

  • A positive value (e.g., +10%) signals expected sales growth

  • A negative value (e.g., -15%) signals expected sales decline

Kapoq will use this percentage to adjust your daily sales demand forecast and gets utilized during the restock calculation.

Once saved, Kapoq uses all inputs to generate your inventory model, including restock alerts, recommended restock quantities, and forecasts.

Tip: You can also upload a custom SKU-level demand forecast or a flat forecast. See Section 2 — Inventory Groups for details.


Storage Settings

Amazon Storage Limits update quarterly and Restock Limits update weekly. Kapoq allows you to manually input these values to keep your settings aligned.

Best practice: Update storage settings in Kapoq on the same cadence Amazon refreshes them.


Overrides

Kapoq applies a settings hierarchy with three levels:

  1. Account Wide (Global)

  2. Inventory Groups

  3. SKU Level

Each SKU inherits settings from the most granular level configured. When a specific SKU requires different parameters than its group or account defaults, you can apply a SKU-level override.

There are two ways to apply overrides:

Option 1 — Via the SKU detail panel: Select the magnifying glass icon next to a SKU in the inventory grid, then navigate to the SKU Settings tab to enter new values for Lead Time, Reorder Frequency, and Safety Stock. You'll see the Account Level settings are in grey, those can be overridden by simply typing in a new value. Once added, you can rerun the simulation, or save the new SKU settings. You can also adjust the Daily Demand by going over to the Daily Demand tab in the same view and adjusting the values.

Option 2 — Directly in the inventory grid: Scroll to the far right of any inventory grid and click directly into the Reorder Settings fields for the relevant SKU.

Overridden parameters remain in effect until manually reverted.


Section 2: Inventory Groups

Inventory Groups allow you to group SKUs that share the same supplier, warehouse, or operational parameters — such as lead times, reorder frequency, safety stock, and demand forecasts. Assigning SKUs to groups enables Kapoq to deliver more targeted and accurate inventory recommendations.

To create a group: Navigate to Inventory Management → Groups → Add Inventory Group.

Enter a descriptive name and configure all relevant parameters for the group:


Assigning SKUs to Groups

Once a group is created, return to the All Inventory tab to assign SKUs. There are three methods:

Option 1 — One by one: Select individual SKUs directly in the inventory grid and assign a group.

Option 2 — Bulk selection: Select multiple SKUs using checkboxes, then use the Actions dropdown to apply a group across all selected items at once.

Option 3 — Bulk file upload: Download the bulk upload file, assign groups in Excel, then re-upload to apply changes.


Section 3: Sources

Sources define where your goods ship from — a supplier, warehouse, prep center, or freight forwarder. Because source locations and lead times vary, creating and assigning Sources to SKUs gives Kapoq the information it needs to distinguish between different supply chains.

To add a source: Navigate to Sources → Add Source.


Section 4: Forecast & Simulator

Custom Forecasts

Kapoq's Unit Forecasting tool uses historical sales data to project unit sales by SKU over a twelve-month period. The report is available in both the Inventory and Analytics modules and is generated as an Excel workbook containing your forecast assumptions, calculation logic, and an output summary.

The forecast is built around three core assumptions: a sales curve (distribution of sales by month), a run rate (baseline unit sales estimate), and a growth factor (expected percentage change in sales). Each can be customized within the workbook.

Once your forecast is ready, upload it via Inventory → Unit Forecasts → Manage → Bulk Upload → Upload Completed Template. Kapoq will convert the monthly figures into a custom daily demand forecast, which then drives restock alerts and inventory planning across the platform.

Section 5: How to Leverage Alerts & Take Action

Kapoq surfaces a fresh set of prioritized alerts each day. Each alert includes an estimated financial impact to help you focus on the actions that matter most.

To access inventory alerts: Navigate to the Inventory Dashboard.

Selecting an alert opens the opportunity detail view, where you can action items individually or in bulk using checkboxes.


Taking Action on Alerts

All alert actions are completed directly in Amazon Seller Central. During the next API sync, Kapoq will confirm whether the alert condition has been resolved and automatically remove it from the list if so. Alternatively, you can ignore or snooze the alerts to remove them from you alerts.
