Changing or cancelling a check-in

Edit a Scheduled check-in, copy one with Clone check-in, add notes and photos, and cancel. Credits are never refunded.

Written by Support Team

What you can change on a Kautio check-in depends on its state. While a check-in is Scheduled, you can edit it or cancel it. Once it is Active, you can't edit or cancel it, but you can dismiss it (see When a check-in comes due › Dismissing a check-in). You can copy any past or upcoming check-in to start a new one, and you can add notes and photos while a check-in is Scheduled or Active. Credits are never refunded.

Editing a check-in

Editing a Kautio check-in is possible only while it is Scheduled.

  1. Open the check-in.

  2. Tap Edit check-in.

  3. Change the fields you want.

  4. Tap Save changes.

You can change every field from the scheduling form: the title, activity start, location, details, photos, tiers, Send first check-in after, Grace window, Wait between tiers, Follow-up, Share my location, and Also call me. Repeat isn't on the edit screen.

  • Changing the activity start moves the follow-up deadline with it.

  • Changing the tiers changes who gets the follow-up text.

  • Once the check-in is Active, Edit check-in is no longer shown.

Why can't I change the start time in the last 5 minutes before the start?

A new activity start for a Kautio check-in must be at least 5 minutes away, so changing the start date or time fails in the last 5 minutes before the current start. Other changes, such as the title, the place, or the tiers, still save then. To move a check-in that starts within 5 minutes, cancel it and schedule a new one.

Editing one check-in from a repeating series

Editing a check-in that belongs to a Kautio Pro repeating series changes only that one check-in. Later changes to the series leave that check-in as it is. See Presets and repeating check-ins (Pro) › Changing one check-in or the whole series.

Copying a check-in

Copying a Kautio check-in with Clone check-in starts a new check-in with the same title and settings.

  1. On the Check-ins tab, find a past or upcoming check-in.

  2. Open its more-actions menu (⋮).

  3. Tap Clone check-in.

New check-in opens with the title, tiers, Send first check-in after, Grace window, Wait between tiers, Follow-up, Share my location, and Also call me filled in. The activity start, location, details, and photos are blank. The banner reads: "Pre-filled from "[title]". Double-check the title, add a start time and location, then schedule."

  • Contacts who are no longer in your contact list are left out, with the notice "Former contacts were removed from tiers."

  • Every tier is copied, in order. A tier left with no contacts stays on the form, marked "No one here — add someone or remove this tier before scheduling.", and the notice "Some tiers need correction. Tiers must have at least one recipient." appears. Schedule check-in works once every tier has a contact or the empty tier is removed.

  • If no contacts are left at all, the Add your people dialog appears: "None of the saved contacts remain. Tiers must have at least one recipient."

  • A copied check-in is a new check-in. It uses a credit when you schedule it unless you subscribe, and if you have no credits and no subscription, tapping Clone check-in opens the Plans screen instead.

  • Clone check-in isn't offered on an Active check-in.

Notes and photos

Notes and photos on a Kautio check-in add context to Check-in details. Contacts can see them only once their tier has been notified (see Scheduling a check-in › Who can see my title, details, location, and photos?).

Adding notes to a check-in

Notes on a Kautio check-in can be added while the check-in is Scheduled or Active.

  • The note field reads "Add a note. (Visible to everyone on this check-in)".

  • A note holds up to 1,000 characters and up to 3 photos. Each photo must be under 25 MB.

  • While the check-in is Active, contacts in a notified tier can add their own notes.

  • Notes can't be edited or deleted in the app.

Adding or removing photos on a check-in

Photos on a Kautio check-in can be added while it is Scheduled or Active, up to 6 photos per check-in (photos attached to notes are counted separately). Each photo must be under 25 MB.

  • You can remove photos only while the check-in is Scheduled, from Check-in details or from Edit check-in, where the photo section shows "Add photos (n of 6)".

  • Once the check-in is Active, you can still add photos but can't remove them.

Cancelling a check-in

Cancelling a Kautio check-in is possible only while it is Scheduled.

  1. Open the check-in.

  2. Tap Cancel check-in.

  3. In the Cancel check-in? dialog, tap Cancel check-in to confirm, or Keep to go back. The dialog says: "This will cancel the check-in. If it used a credit, the credit isn't refunded. This cannot be undone."

After you cancel:

  • The check-in shows Cancelled.

  • You get a "[title] — check-in cancelled" notification.

  • The check-in's follow-up, if it had one, is stopped. Cancelling is the only action that stops a follow-up without Clear follow-up; dismissing doesn't.

  • The credit it used, if any, is not refunded.

A check-in that is waiting for another check-in to finish is still Scheduled, so you can cancel it (see More than one check-in). Once a check-in is Active, Cancel check-in is no longer offered. Use Dismiss instead: it ends the check-in, which then shows Cancelled if no contact had been notified yet, and Dismissed if at least one had. Its follow-up, if it has one, still runs. See When a check-in comes due › Dismissing a check-in.

Cancelling a check-in from a repeating series

Cancelling a check-in that belongs to a Kautio Pro repeating series opens the Cancel recurring check-in dialog with three choices: Only this check-in, This and all future check-ins, and All check-ins in this series. For what each choice does, and which work without Pro, see Presets and repeating check-ins (Pro) › Changing one check-in or the whole series.
