When a check-in comes due

A Kautio check-in follows a fixed order once it is scheduled: it becomes Active at the activity start, opens a grace window for you when the Send first check-in after time is up, and, if you don't respond, notifies your tiers one at a time, each after its own grace window, with your wait between tiers before each later one. Kautio's servers keep this time, so the schedule continues whether or not your phone is on. Kautio is not an emergency service. If your contacts are notified, it means a timer wasn't stopped, nothing more. Kautio contacts only the people you chose, and it can't promise any outcome.

Timeline from Scheduled to Complete

A Kautio check-in moves through the same steps every time. This example uses Send first check-in after set to 30 min, Grace window set to 5 min, Wait between tiers set to 30 min, and two tiers of contacts (Tier 1 and Tier 2), with no response from you. Times are counted from the activity start.

  1. Until the activity start, the check-in is Scheduled.

  2. At the activity start (0 minutes), the check-in becomes Active, and you get a "[title] is starting" notification.

  3. At 30 minutes, the first grace window opens.

  4. At 35 minutes, with no response, Tier 1 is notified, and the wait between tiers begins.

  5. At 65 minutes, the next grace window opens.

  6. At 70 minutes, with no response, Tier 2 is notified.

  7. With no tiers left, the check-in moves to Follow-up pending (if it has a follow-up that is still open) or Complete.

The earliest your first contacts can be notified is: activity start + Send first check-in after + Grace window. In the example, that's 35 minutes after the activity start. Each later tier can be notified, at the earliest, Wait between tiers + Grace window after the one before: Tier 2 at 70 minutes in the example.

The grace window

The grace window is the time Kautio gives you to respond each time it checks in on you during a check-in: 1, 2, 5, 10, or 15 minutes, as set by the check-in's Grace window setting (5 minutes by default; see Scheduling a check-in › Grace window). Every window in a check-in has the same length. Kautio's servers time the window, and it is never extended.

When a window opens:

  • You get a "Check-in time" notification that says how long you have and which tier is notified next, for example "You have 5 minutes to check in before Tier 1 is notified."

  • If Also call me is on, Kautio also calls you (see Scheduling a check-in › Phone call option ("Also call me")).

  • The check-in screen shows Snooze and Dismiss, with the time left, such as "04:59 to check in", and the tier notified next, such as "Tier 1 is notified if you don't check in."

If you don't respond before the grace window ends, that tier is notified: Tier 1 after the first window, Tier 2 after the next, and so on. Opening the notification or the app isn't a response; only Snooze or Dismiss is, in the app or by pressing 1 or 2 on a Kautio call.

Snoozing a check-in

Snoozing a Kautio check-in delays it by your wait between tiers. Snooze appears only while a grace window is open, at any tier.

  • Snoozing delays the current tier and every later tier by your Wait between tiers. Then a new grace window, of the same length, opens.

  • Snoozing is silent. Your contacts are never told.

  • You get a "Got it" notification that says how long until Kautio checks in on you again.

  • There's no limit on the number of snoozes.

  • Snoozing doesn't move the follow-up deadline.

  • Your snoozes aren't listed in the app. They are included in your data export (see Your privacy and data).

How Snooze and the grace window work together

Snoozing a Kautio check-in closes the grace window that is open and starts a new one later; it never adds time to the open window.

  • After a snooze, Kautio checks in on you again after your Wait between tiers, with a new "Check-in time" notification and a full grace window.

  • The tier you snoozed is notified only if that new window passes without a response.

  • Example: with Wait between tiers set to 30 min and Grace window set to 5 min, snoozing at 32 minutes after the activity start opens the next window at 62 minutes, and Tier 1 is notified at 67 minutes if you don't respond.

  • To get more time without snoozing, choose a longer Grace window when you schedule (see Scheduling a check-in › Grace window).

Dismissing a check-in

Dismissing a Kautio check-in ends an Active check-in and cancels every tier that hasn't been notified yet.

  • You can dismiss during a grace window or while Kautio is waiting between windows, including before the first window opens.

  • Once every tier has been notified, Dismiss is no longer offered.

To dismiss, tap Dismiss. The Dismiss check-in? dialog says "This cancels all remaining tiers." followed by either "Your follow-up stays on schedule." (when a follow-up is open) or "Your contacts will not be notified further." Tap Dismiss to confirm, or Keep active to go back.

Dismissing from the check-in's card on the Check-ins tab shows the same dialog, with the same follow-up wording.

Why does my dismissed check-in say Cancelled?

A dismissed Kautio check-in shows Cancelled if no contact had been notified yet, and Dismissed if at least one contact had been notified. For example, dismissing during your first grace window, before Tier 1 is notified, gives Cancelled.

The notification you get reads "[title] — check-in cancelled" or "[title] — check-in dismissed", and says either "Your follow-up is still scheduled." or "No further notifications will be sent."

Does dismissing stop my follow-up?

No. Dismissing a Kautio check-in never stops its follow-up, including a dismiss in the first grace window that shows Cancelled. A follow-up stops only when you tap Clear follow-up, or when the check-in is cancelled before its start (with Cancel check-in, or by pausing or ending its repeating series). What it means when your contacts are notified

When Kautio notifies a tier of your contacts, it means a timer wasn't stopped, nothing more. It doesn't mean Kautio knows anything about where you are or what is happening. Kautio contacts only the people you chose for that tier. It contacts no one else, and it is not an emergency service.

When a tier is notified:

  • Each contact in that tier gets a text message and, if they have the Kautio app, a notification.

  • You get a notification titled "[names] notified" that tells you which tier was reached.

Sending "all good" to your contacts

The Kautio "all good" text tells contacts who were already notified that you checked in. It is offered only when at least one contact was notified: after you dismiss, or after every tier has been notified.

  • After you dismiss, the Let your contacts know sheet appears with a preview and the buttons Send all good and Skip.

  • If a follow-up is still open, the sheet also has an Also cancel the scheduled follow-up message checkbox.

  • If every tier was notified while you were away, Check-in details shows "Your contacts were alerted while you were away." and a Let your contacts know you're all good button.

The text your contacts receive reads: "Kautio: [name] has checked in for "[title]" and wanted you to know they are all good." The preview on the sheet is worded differently; this is the text that is sent.

  • It goes only to contacts who were already notified, never to tiers that weren't reached.

  • It skips anyone who has blocked you.

  • You can send it more than once, up to 5 times an hour.

  • Pressing 2 on a Kautio phone call sends it automatically if contacts were already notified (see Scheduling a check-in › Phone call option ("Also call me")).

What happens if my phone is off or has no signal?

A Kautio check-in runs on Kautio's servers, not on your phone. If your phone is off, out of battery, or has no signal, the check-in continues: windows open and close on time, and contacts are notified on schedule.

  • Notifications and calls to you are best-effort. Kautio doesn't send you a backup text.

  • No location points are recorded while your phone is off.

  • When you're back, open the check-in. Dismiss it if it's still Active, send "all good" if contacts were notified, and clear the follow-up if one is open.

Notification

When

"[title] is starting"

At the activity start. Says how long until Kautio checks in on you and, when Tier 1 has contacts, how long your grace window is and that Tier 1 is notified if you don't respond. See When a check-in comes due › The "[title] is starting" notification.

"Check-in time"

Each time a grace window opens. Says how long you have and which tier is notified next.

"Got it"

After a snooze. Says how long until Kautio checks in on you again.

"[names] notified"

After each tier is notified, when at least one of its contacts was reached by text or app notification. Says which tier.

"Contacts not reached"

No contact in a tier could be reached by text or app notification, or every contact in that tier was removed or has blocked you. The body names the tier and ends: "Check your contacts in Kautio."

"[title] is waiting to start"

A check-in is waiting for another one to finish. Sent once per check-in. See More than one check-in.

"Heads up"

An hour before a follow-up deadline: "Follow-up sends to your contacts in about 1 hour unless you clear it."

"[title] — check-in cancelled", "[title] — check-in dismissed", or "[title] — check-in complete"

When the check-in ends. Says whether your follow-up is still scheduled.

Kautio Pro repeating series have three more notifications: "Recurring check-ins paused", "Recurring check-ins ended", and "Recurring check-in contacts changed". See Presets and repeating check-ins (Pro).

Kautio has no notification settings screen in the app. To manage notifications, use your phone's settings. See Troubleshooting › I didn't get a notification when my check-in came due.

The "[title] is starting" notification

The Kautio "[title] is starting" notification arrives at the activity start and is your heads-up for the first check-in: it says when Kautio first checks in on you and, when Tier 1 has contacts, how long your grace window is.

  • Usually: "We'll check in on you in 30 minutes. You'll have 5 minutes to check in before Tier 1 is notified."

  • If your first check-in is due within 30 seconds, for example when the check-in waited for another one to finish: "Your first check-in is opening now. You'll have 5 minutes to check in before Tier 1 is notified."

  • If no one is left in Tier 1, for example after contacts left a repeating check-in, it says only when Kautio checks in on you.

It is the only heads-up before your first check-in. Kautio sends no reminder while a grace window is open: the "Check-in time" notification, and the call if Also call me is on, come as the window opens.

Check-in states

Every Kautio check-in shows one of six states. Complete, Cancelled, and Dismissed are final: a check-in never leaves them.

Waiting for its activity start. You can edit or cancel it.

You schedule it. A check-in waiting for another one to finish also stays Scheduled.

Active

The check-in is running: Kautio checks in on you and notifies tiers on schedule.

Its activity start arrives.

Follow-up pending

Every tier has been notified, and the follow-up is still open.

The last tier is notified while a follow-up is on and not yet cleared or sent.

Complete

The check-in ran to its end.

The last tier is notified with no open follow-up, or a pending follow-up is cleared or sent.

Cancelled

The check-in was stopped before any contact was notified.

You cancel it while Scheduled, or you dismiss it before any contact is notified. A check-in you edited in a repeating series also shows Cancelled when you pause or end the series.

Dismissed

You ended the check-in after at least one contact was notified.

You dismiss it after at least one tier was notified.

On the Check-ins tab, check-ins are grouped under Live & upcoming and Past.
