A Kautio account is tied to one verified US or Canadian phone number. Your account controls are in Settings. Check-ins run on Kautio's servers, not on your phone, so this chapter also says what each account action does to your Scheduled and Active check-ins.
Your account settings at a glance
The Kautio Settings screen groups every account control under a heading. This table lists each group and its rows.
Group | Row | What it does |
Profile | Display name | The name your contacts see. See Changing your display name below. |
Profile | Phone number | Your sign-in number. Tap it to change it. |
Preferences | Call me during check-ins | Your default for Also call me on new check-ins: Kautio also calls your phone each time a grace window opens. See Scheduling a check-in › Phone call option ("Also call me"). |
Check-ins | Safety presets | Saved check-in setups. Marked Pro if you don't have Kautio Pro. |
Check-ins | Recurring check-ins | Check-ins that repeat on a schedule. Marked Pro if you don't have Kautio Pro. |
Organization | Join with an invite link | For members an organization has invited, who join with the invite link they received. |
Account | Credits & subscription | Opens the Credits & subscription screen. The row shows your plan (Full Access or Kautio Pro) or how many credits you have left. See Managing your subscription. |

Account | Sign out | Signs you out on this phone. |
Account | Delete account | Permanently deletes your account. Shown on its own below the other Account rows. |
Help & support | Help Center, Contact support, My requests | Kautio support in the app. When in-app support is unavailable, this group shows a single Email support row instead. See Kautio support. |
About | About Kautio, About Hearthmates | Open kautio.app/about and hearthmates.com, the company behind Kautio. |
About | Share Kautio | Opens your phone's share sheet with a short description of Kautio and a link to kautio.app. |

The app version appears at the bottom of Settings as "Kautio v" followed by the version and build number, for example "Kautio v1.0.0 (11)". Include it when you contact support.
Tapping Safety presets or Recurring check-ins without Kautio Pro opens the Unlock with Pro screen. For what Kautio Pro includes, see Plans, credits, and prices › What does Kautio Pro add?
Kautio has no notification settings screen. Notification permission for Kautio is managed in your phone's own settings. See Setting up Kautio.
Changing your display name
Your Kautio display name is the name your contacts see. It appears in the invitation text, check-in texts, follow-up and "all good" texts, and the notifications Kautio sends your contacts. A name is required: Kautio asks for it on the last step of setting up, and asks again when you tap Schedule check-in if your account still has none (see Setting up Kautio › Why does Kautio ask for my name when I schedule?). Kautio reads your name each time it sends a text, so a new name also applies to check-ins already scheduled. A contact's list shows the name you had when they accepted your invitation.
To change your display name:
Open Settings.
Under Profile, tap Display name (the field hint is "What should we call you?").
Type the new name.
Tap the keyboard's done key, or tap anywhere outside the field. Kautio saves the name.
A display name must follow these rules. If it doesn't, Kautio shows the message and doesn't save.
Rule | Message |
At least 1 character (spaces before and after don't count) | "Enter a name." |
No links (a web or email address) | "Names can't include links." |
At most 40 characters | "Keep it to 40 characters or less." |
Letters, numbers, spaces, and the characters . - ' only | "Only letters, numbers, and . - ' allowed." |
If you clear the field and leave it, Kautio shows "Enter a name." and puts your saved name back. A display name can't be removed, only changed.
If saving fails for another reason, Kautio shows "Couldn't save your name. Please try again."
What do my contacts see if my account has no name?
A Kautio account without a display name is rare, because Kautio asks for one during setup and before scheduling. If your account has no name, your contacts' check-in, follow-up, and "all good" texts, and their app notification, name you by your phone number, as the app shows it, for example "+1 (404) 555-0101". Your contacts already have your number, because contacts are mutual. If no number is on file either, the texts say "Someone". The invitation text never shows your number: without a name it says "Someone".
How do I change my phone number?
You change your Kautio phone number in Settings, by verifying the new number with a code. Kautio saves the new number only after it's verified. Changing your number isn't possible while one of your check-ins is Active, and you may be prompted to sign in again, which sends a code to your current number (see Why does Kautio ask me to sign in again to change my number? below).
Open Settings.
Under Profile, tap Phone number. The Change phone number screen opens.
Enter your new number. The screen reads "We'll send a code to your new number to confirm it's yours."
Tap Send code. Kautio asks Change your phone number?: "Your new number becomes your sign-in and the number Kautio uses for check-ins. Your contacts will see it."
Tap Change number. Cancel closes the question and sends nothing.
On Enter the 6-digit code, enter the code texted to your new number.
Kautio shows All set and "Your new number is" followed by the number.
Tap Done.
On the code screen, Resend code becomes available 30 seconds after the code was sent. Use a different number takes you back to number entry.
When can't I change my phone number?
A Kautio phone number change is refused in the cases below. Each shows the message listed.
Situation | What you see |
One of your check-ins is Active | The Phone number row can't be tapped and shows "You can't change your phone while a check-in is active." Kautio's servers also refuse the change. Scheduled and Follow-up pending check-ins don't block a change. |
The new number isn't a US or Canadian number | "Kautio is available in the US and Canada right now. A verification code can't be sent to this number." |
The new number is the one already on your account | "This is already the number on your account. Enter a different number to change it." |
Another Kautio account already uses the number | "Another account is already using this number." |
The number isn't a valid phone number | "That doesn't look like a valid phone number. Check it and try again." |
The code is wrong | "That code doesn't match. Check the message and try again." |
The code has expired | "This code has expired. Request a new one." Tap Resend code. |
Too many code requests | "Too many tries. Please wait a few minutes and try again." |
No connection | "No connection. Check your network and try again." |
Kautio checks the new number before the code is sent, so a number outside the US and Canada, or an active check-in, is refused before any code arrives. Kautio's servers accept at most 10 numbers checked and 5 saved per account per hour; past that, the screen shows "Too many attempts. Wait a moment before trying again."
Why does Kautio ask me to sign in again to change my number?
Changing your Kautio sign-in number is a sensitive change, so Kautio may show Sign in again with "For your security, please sign in again to finish changing your number." and a Sign out and sign in again button.
Signing in again sends a code to your current number, so a number change needs access to your current number. After you sign in, start the change again from Settings › Phone number.
If you no longer have access to your current number, email support@kautio.app from your email app and include the number on your account.
What changes when my phone number changes?
A Kautio phone number change affects your account as follows:
Your contacts stay connected. Contacts are linked to your Kautio account, not to your number.
Your contacts see the new number. The number under your name in each contact's Your contacts list changes to the new one.
You sign in with the new number from then on.
Calls go to the new number. If a check-in has Also call me on, Kautio calls the new number.
Texts you receive as a contact go to the new number. When another member's check-in notifies you, or a follow-up or "all good" text is sent to you, Kautio uses your current number.
A STOP block doesn't carry over. If you had replied STOP to Kautio texts from your old number, that block doesn't apply to the new number.
Your contacts' texts don't change. Kautio's texts name you by your display name. Only if your account has no name do your contacts' texts show your phone number, and then they show the new one.
My number changed but Kautio says it couldn't save it
A Kautio phone number change has two steps: your sign-in number changes first, then Kautio saves the number it uses for calls and texts. If the second step fails, you see one of these messages:
Message | What it means | What to do |
"Your sign-in number changed, but Kautio could not save it for check-ins — it can only text US and Canadian numbers. Your check-ins still use your previous number." | The new number was verified, but Kautio's servers didn't accept it as a US or Canadian number. | Enter a different US or Canadian number. |
"You can't change your phone while a check-in is active." (with Retry) | One of your check-ins became Active during the change. | Tap Retry once no check-in is Active. |
"We updated your phone but couldn't finish saving. Please try again." (with Retry) | The save didn't complete. | Tap Retry. |
"Too many attempts. Wait a moment before trying again." (with Retry) | Kautio's servers accept at most 5 saved numbers per account per hour. | Tap Retry later. |
Until the save completes, you sign in with the new number, but Kautio still calls and texts your previous number, and your contacts still see your previous number.
What happens when I sign out?
Signing out of Kautio with Settings › Sign out ends your session on this phone only. It doesn't delete or change any data.
Signing out doesn't stop, cancel, or pause any check-in. Your Scheduled and Active check-ins keep running on Kautio's servers, and your contacts are notified on schedule if you don't respond.
While you're signed out, you can't Snooze or Dismiss in the app. When the phone is online, signing out also stops Kautio's notifications for your account on this phone. If you don't want a check-in to run, cancel or dismiss it before you sign out. See Changing or cancelling a check-in and When a check-in comes due.
If a check-in has Also call me on, Kautio still calls your number during each grace window while you're signed out, because the call is placed by Kautio's servers. You can still respond on that call.
How do I delete my account in the app?
Deleting your Kautio account is permanent and can't be undone. When you confirm, Kautio signs you out and erases your data.
Open Settings.
Tap Delete account. The Delete your account? dialog opens.
Read the dialog. It says: "This permanently deletes your account and everything in it — your check-ins, contacts, and saved settings. It cannot be undone." It also says "Any remaining credits are forfeited." and "If you have a subscription, deleting your account does not cancel it — cancel it in the store you bought it from to stop billing." Manage subscription opens the subscription settings of the store you bought it from. If Kautio gave you access directly, there's no Manage subscription button: that plan has nothing to cancel.
Review Your check-in references and keep them if you want (see What Kautio keeps after deletion, and your check-in references below).
Tap Delete to delete your account, or Cancel to keep it.
If deletion fails, Kautio shows "Could not delete account. Please try again." You can also email support@kautio.app.
If you haven't signed in recently, you will be prompted to do so again. Tap Sign out and sign in again, sign in, then start again from Settings › Delete account.
What does deleting my account remove?
Deleting your Kautio account removes:
your profile (phone number, display name, and preferences);
all your check-ins in every state, including Scheduled and Follow-up pending, so a pending follow-up is never sent;
your recurring check-in series;
your contacts, on both sides (your contacts aren't told);
invitations you sent, and invitations sent to you;
your presets (Safety presets) and contact groups;
your credits and credit history;
your subscription record in Kautio (the store subscription itself continues; see Does deleting my account cancel my subscription? below);
your conversations with our support provider, currently Intercom, which it deletes after its short recovery period.
After deletion, you're no longer a contact on anyone else's check-ins, so you aren't notified for them.
What happens to an Active check-in when I delete my account?
Deleting your Kautio account ends your Active check-ins. Each becomes Cancelled if no contact had been notified yet, or Dismissed if at least one contact had been notified.
No "all good" text and no follow-up are sent. Contacts who were already notified aren't told that the account was deleted.
What Kautio keeps after deletion, and your check-in references
Kautio keeps a minimal record of each of your check-ins after your account is deleted. The record holds the schedule, each state change, which contacts were notified, delivery outcomes, and snoozes. It holds no title, description, location, notes, or photos. Reports you filed also keep their content. For how long each kind of record is kept, see Your privacy and data › How long does Kautio keep my check-ins?
The Delete your account? dialog lists these records as Your check-in references with a count, and says: "Kautio keeps a minimal record of each check-in's schedule and what it sent to your contacts — no location, notes, or photos. After deletion, Kautio can no longer connect these records to you on its own. Keep these references if you may ever need to ask about one."
Tap Share references to save or send the list.
If you have no check-ins, the dialog shows "No check-in records are on file for this account."
If the list doesn't load, the dialog shows "Could not load your check-in references. You can try again, or delete without them." Tap Try again, or delete without the references.
Does deleting my account cancel my subscription?
No. Deleting your Kautio account doesn't cancel a Kautio Full Access or Kautio Pro subscription. Billing continues until you cancel in the Apple App Store or Google Play. Cancel before you delete your account, or tap Manage subscription in the Delete your account? dialog. See Managing your subscription › How do I cancel my subscription?
How do I delete my account without the app?
You can ask Kautio to delete your account without the app in either of two ways:
Email support@kautio.app with the phone number on your account and a line confirming you understand deletion is permanent.
Use the form at kautio.app/privacy-requests, and include the phone number on your account.
Kautio verifies your identity, completes the deletion within 30 days, and confirms by email. The deletion removes and keeps the same things as deleting in the app.
