Kautio stores what it needs to run your check-ins and notify the contacts you chose. Its records describe schedules (when a timer started, whether it was stopped, who was notified), never people. This chapter summarizes what Kautio stores, for how long, and how to get a copy or delete it. The Privacy Policy at kautio.app/privacy is the full statement.
What does Kautio collect?
Kautio collects the data in this table to run your account and your check-ins.
Category | What Kautio stores |
Account | Your phone number, display name, time zone, preferences such as Call me during check-ins, your phone's notification tokens, numbers you blocked, your credits, and your plan. |
Contacts and invitations | Who you invited, who invited you, and each invitation's status. |
Check-ins | What you enter (title, details, location, photos, notes), the schedule and tiers, each state change, snoozes, which contacts were notified, and whether each text, call, or notification was delivered. Notes and photos your notified contacts add are stored with the check-in. |
Location trail | Only if Share my location is on for that check-in, and only while it's Active. See Is my location tracked between check-ins? below. |
Saved setups | Your presets (Safety presets), Contact Groups, and recurring check-in series. |
Purchases | Your plan's status from the Apple App Store or Google Play, through our subscription provider. Kautio never sees your payment details. |
App information | Usage events (for example, creating your first check-in, snoozing, dismissing, completing a check-in) and crash reports. |
Support and reports | Your support conversations are held by our support provider, currently Intercom (see Kautio support › What does our support provider receive?). Reports you file are stored by Kautio (see Reporting misuse › How does Kautio store reports?). |
Is my location tracked between check-ins?
No. Kautio doesn't record your location between check-ins and keeps no location history outside a check-in.
Kautio records a location trail only when all of these are true:
Share my location is on for that check-in;
the check-in is Active;
the Kautio app is running on your phone, in the foreground or the background.
While recording, Kautio saves your position about every 30 seconds. On Android, a "Kautio check-in" notification reads "Sharing your location with your contacts for this check-in"; on iPhone, the system location indicator shows. Recording stops as soon as the check-in leaves Active: when it becomes Follow-up pending, Complete, Cancelled, or Dismissed. If you have more than one Active check-in with location sharing on (Kautio Pro), Kautio records one trail at a time.
Who can see a location trail: you, and contacts in tiers that have already been notified. A trail is deleted with the rest of the check-in's data (see How long does Kautio keep my check-ins? below).
The location you enter when scheduling is where your plan takes place, not your position. Your contacts see it only once their tier is notified.
Recording a trail needs location permission for Kautio on your phone. If permission is off, no trail is recorded; the check-in itself still runs and notifies your contacts as scheduled.
Does Kautio sell my data?
No. Kautio doesn't sell personal data.
Kautio shares data only with service providers that run parts of Kautio: text and call delivery, support, hosting and analytics, and subscriptions. Each receives only what its job needs. Your contacts' phone numbers are used only for invitations, check-in texts, follow-up texts, and "all good" texts, never for marketing.
Our support provider, currently Intercom, never receives your phone number. For what it does receive, see Kautio support › What does our support provider receive? For the full list of providers, see the Privacy Policy at kautio.app/privacy.
How long does Kautio keep my check-ins?
Kautio deletes check-in data on a fixed schedule. This table lists how long Kautio keeps each kind of data. The check-in periods are the ones the Privacy Policy states under "Check-in Information and Retention"; the policy is the full statement.
Data | How long Kautio keeps it |
Check-in data: title, details, location, location trail, notes, photos, tiers, and delivery records | Deleted in full 90 days after the check-in becomes Complete, Cancelled, or Dismissed. A check-in in Follow-up pending isn't counted until it reaches one of those states. |
Minimal check-in record: the schedule, each state change, which contacts were notified, delivery outcomes, and snoozes. No title, description, location, notes, or photos. | Kept for 7 years after the check-in ends, including after your account is deleted, as the Privacy Policy states. For a check-in deleted before it ended, the 7 years count from the deletion. |
Encrypted backups | Expire within 30 days. |
Support conversations | Deleted when you delete your account, after our support provider's short recovery period. |
Reports | May be kept after they're resolved, as described in the Privacy Policy. See Reporting misuse › How does Kautio store reports? |
Your account, contacts, saved setups, and credits | Kept until you delete your account or remove them. See Your account › What does deleting my account remove? |
For anything not listed here, see the Privacy Policy.
How do I get a copy of my data?
You can see a copy of your Kautio data in the app with Export my data.
Open Settings.
Under Account, tap Export my data.
The Your data dialog shows your export as text. Select the text to copy it.
Tap Close.
The export contains:
your profile;
your check-ins, with their tiers, snoozes, location trail, notes, photo references, and delivery records;
your contacts and the invitations you sent;
your presets, contact groups, and recurring series;
your subscription record and credit history;
the minimal records of your check-ins;
reports you filed: the kind of report (invitation, contact, or check-in alert), the reason, your note, the status, and the date (without the other member's account ID or the ID of what you reported).
Photos are listed by reference; the image files aren't included.
Kautio allows one export per account every 24 hours. If the export fails, Kautio shows "Could not export data. Please try again."
To ask for a copy another way, use the form at kautio.app/privacy-requests or email support@kautio.app, and include the phone number on your account.
Can I delete some of my data without deleting my account?
Yes. You can delete some Kautio data yourself, and ask Kautio to delete or correct other data, without closing your account.
Data | How to delete it |
A contact | Remove the contact. See Managing your contacts. |
A photo on a check-in | Remove it while the check-in is still Scheduled. After that, photos can't be deleted in the app. |
A preset or contact group | Delete it from its list. |
A check-in | Check-ins can't be deleted in the app. Cancelling a check-in ends it but doesn't delete it; its data is deleted 90 days after it ends. |
Notes and the location trail | Can't be deleted in the app. They're deleted with the check-in, 90 days after it ends. |
A recurring series | End in Recurring check-ins stops future check-ins. The series stays in the list as Ended until you delete your account. |
Anything else | Email support@kautio.app or use the form at kautio.app/privacy-requests, and say what to delete or correct. Your account stays active. |
I got a text from Kautio but don't have an account
People who received a Kautio invitation or check-in text without having an account can stop texts and ask for their number to be removed.
To stop Kautio texts, reply STOP to any Kautio text. See Got a text from Kautio?
To ask Kautio to remove your number, use the form at kautio.app/privacy-requests or email hello@kautio.app.
Include your phone number in the request, because Kautio identifies people by phone number.
