Sync your Google Calendars with Keep The Fees!

How it works:

Both artist logins and shop owner logins can sync their KTF calendars with Google Calendar. Using the shop login, you can continuously export all the shop's appointment for all the artists to a Google Calendar, while artists can set up 2-way syncing: a continuous import and export of appointments from KTF to Google.

Here's how to set up the export sync for all shop appointments to one Google Calendar.

From the shop owner login:

From Artist logins:

For Artist accounts, Keep The Fees has a 2-way sync with Google Calendar. Export your appointments to your Google Calendar in real time and import them continuously (currently every 10 minutes). With KTF, you can choose to import all of your Google Appointments or filter only those that you want. More info on that is below.

Appointment Import Settings

The inbound Google Calendar sync imports your Google Calendar appointments. You can set it up to import all of your appointments or only a subset of them by choosing your filters when you configure the import. The import will run every 10 minutes. If you make changes to an appointment on your Google Calendar, it will automatically update the time block in the Keep The Fees system.

  • From the time block, you can click on it and create an appointment with that time block. you just have to add the client, service, and artist name. the start time and duration is filled out already.

  • The import will only grab future appointments, not previous appointments

  • By default, KTF imports all your Google Appointments from the selected calendar(s).

You can filter the appointments to be imported by specifying keywords in the subject line or description:

Contains: Imports only appointments with the specified keyword.

  • Example: Selecting "contains" and typing "tattoo" in the Subject field will import only Google Appointments with "tattoo" in the subject line.

Does Not Contain: Imports all appointments except those with the specified keyword.

  • Example: Typing "birthday" in the Subject field and choosing "does not contain" means appointments with "birthday" in the subject line will not be imported, but all other appointments will be.

Here's an example of setting up the inbound Google Calendar sync from the Artist login and converting a time block to an appointment:

Outbound sync matches up with Google Calendar appointment fields like so:

  • Subject: Service Name - Client Name

  • Location: shop address (make sure it doesn't add the shop address if the address is private)

  • Description:

    • Link to the appt

    • Artist name

    • Appt notes

    • Client name

    • Client notes

    • Client phone

    • Requested service
