Status Quick Reference Guide:

Scan Tag or Serial- If scanning function does not work, please utilize the camera function on your phone and simply snap a photo of either the capital equipment tag or the matching serial number.

Reminder- you NEED to allow camera access through the app on your phone to utilize the scanner and the camera.

Offsite- If asset has been deployed to a location that is not on campus, has been sent out for repairs, is temporarily at staff or faculty’s home.

Do not use if - Item has moved to a different building or different room on campus.

Pending Surplus - If asset has been: Decommissioned, retired, broken, sold, traded-in, stolen, taken permanently to another institution, or cannibalized.

Do not use if - Asset has moved locations, transferred to a different department, loaned away temporarily or you are not familiar with item.

Untaggable- An asset that is subjected to heat or water, an asset that is an internal component (microchip, processing equipment or fabricated equipment) or too small to tag. Can also be used for items in inaccessible areas (rooftops or restricted space).

Do not use if - Asset does not have a tag on it but could be tagged (use Not Tagged in these cases) or if asset cannot be found. If asset is currently offsite and cannot be tagged during field work, please list the asset as offsite.

Not Tagged- If the asset does not have a capital equipment tag but can be verified (has matching serial number, manufacturer, and model number).

Do not use if- Asset is shared equipment with a different institution and does not have a capital equipment tag, or if you are unable to match model and serial number to asset (both are required for not tagged assets)

Wrong Tag - If asset is a match with manufacturer, model, and serial number (they all need to match) but capital equipment tag does not match.

Do not use if- Asset simply need to be tagged, or if asset does not have a matching serial number and model number but has a capital equipment tag that does not match.
