Maintain address data of customers and suppliers

In Organizations you manage all customers, suppliers and service providers.

  • General: Name of the company, customer number, general email, accounts receivable & accounts payable number, VAT ID credit line and preferred language can be entered here. It may be helpful to transfer the customer number from your old system so that you do not have any difficulties in assigning the organization in accounting. 

Please note that customer numbers of deleted customers cannot be used again, as Keyline allows each number only once. Otherwise there is a risk that duplicate customer numbers will be transferred to third party systems.

  • Persons: Here you can create the contact persons with the usual contact data. However, you can also add the contact persons directly in the calculation if you have selected the customer.

  • Addresses: Here you can edit or delete addresses, or mark them as "no longer used". All addresses are listed that have been stored with the recipient address and with the delivery addresses. New addresses are therefore only added during the current process within the calculation, never "on pile".

  • Payment terms: Here you can define individual payment conditions that only apply to the organization.

  • Additional information: This information is always displayed in the upper right corner (business card symbol with the red dot) during the calculation. It is possible to note all special features such as fixed margin, shipping conditions and other pink ribbons that affect the customer. 

  • Partner conditions: If you regularly work with agencies and print brokers, you can optionally define commissions here, which are created as credit notes when the invoice is issued.

  • API access keys: If a customer is allowed to automatically create orders in Keyline, such as an online portal or Web2Print provider, you can create an API key here, which you can then pass on to your service provider. You can also view and manage all API keys centrally in the admin area: Accounts > API Permissions.

For each organisation, the total net turnover of all invoiced invoices is shown.
